FLSA Status: Full-Time, Salaried, Non-Exempt

Salary Range: $55,000 60,000 annually

Work Hours: Monday Friday, 35 hours per week at 90% FTE

Hybrid Option: 3 days per week on site (including Tuesdays and Thursdays) with the option for 2 days per week remote. Occasional weekend and evening work at events is required.

Position Summary

The Creative Aging Programs Coordinator (Coordinator) is responsible for developing, coordinating, and implementing Creative Aging programs at the Frye Art Museum. These programs engage aging adults in multidisciplinary arts-based learning, using the museums collection and exhibitions as a foundation.

This role supports the Fryes commitment to diversity, equity, accessibility, inclusion, and belonging by collaborating with a broad range of community partners to offer programs that foster wellness, encourage creativity, and support lifelong learning for diverse communities of older adults.

The Coordinator works with the Associate Director of Creative Aging Programs (Associate Director) to facilitate, nurture, and expand existing programs for adults living with dementia and their care partners while also supporting the development and implementation of new initiatives, including arts-based creative offerings for the broader population of older adults. The Coordinator also provides research, planning, and coordination support for professional development programs designed for healthcare and social service professionals.

Adept in both the relationship-based and operational aspects of Creative Aging programs, the Coordinator collaborates with museum colleagues, contracted teaching artists and educators, community partners, volunteers and other stakeholders to ensure thorough planning, effective program assessment and tracking, and cultivating a welcoming environment for all program participants.

The Learning & Engagement team at the Frye Art Museum creates dynamic and reciprocal interactions with artists, students, teachers, and community members. Our diverse programs engage people of all ages in visual thinking strategies, hands-on art-making, and interdisciplinary performances and talks. Our mission is to advance accessibility, foster intergenerational exchange, and support lifelong learning across the museum.

The division comprises four departments: Creative Aging, Inclusive Learning, Public Programs, and Visitor Services. We collaborate across museum-wide exhibitions and programming to ensure learning and engagement are central to a cohesive, integrated, and visitor-focused approach.

Key Responsibilities

Program Planning and Management (20%)

  • Support scheduling, coordinating and implementing Creative Aging programs for adults living with dementia and their care partners, such as Here Now, Alzheimers Cafe, Meet Me at the Movies, Dementia-Friendly Art Discussions in the Galleries, and new programs for a general population of aging adults.
  • Support the Associate Director with expansion of legacy programs and the development of new on-site, off-site, and virtual Creative Aging programs to strengthen older adults connection with the Frye and foster intergenerational engagement opportunities.
  • Help develop curriculum or program themes in collaboration with teaching artists, contracted facilitators, community partners, and the Associate Director.
  • Conduct outreach to new and underserved communities to build awareness of the museums Creative Aging programs and invite input to inform future programming possibilities.
  • Cultivate and maintain relationships with key Dementia-friendly community partners, including the UW Memory Brain Wellness Center Memory Hub, and regional and national stakeholders.
  • Liaise with the Creative Aging Advisory Committee, in coordination with the Associate Director.
  • Stay informed about best practices for Creative Aging engagement, museum education, and elder care, including dementia care.
  • Maintain current listings and resources on Creative Aging and accessibility programs locally, nationally, and internationally.
  • Compile Creative Aging programs data and assist with evaluation.
  • Support other Learning & Engagement programs and initiatives as needed.
  • Contribute to a positive organizational culture based on mutual respect, collegiality, cooperation, and openness to diverse perspectives.

Program Facilitation (60%)

  • Develop program descriptions, plan program timelines, and coordinate with various museum departments for successful program scheduling and implementation.
  • Facilitate Creative Aging legacy programs for adults living with dementia and their care partners, and other programs as assigned by the Associate Director.
  • Facilitate new Creative Aging programs on-site, off-site, and virtually, as assigned by Associate Director.
  • Document programs via photos and other media in coordination with the Communications team.
  • Coordinate and track program attendance, conduct surveys, and collect feedback for program evaluations.
  • Represent Creative Aging programs at partner meetings, community events, and select conferences, as requested by the Associate Director.

Program Administration (20%)

  • Administer program-specific budgets.
  • Serve as the first point of contact for Creative Aging inquiries and issues. Manage the department inbox and phone line, responding to inquiries and forwarding them to appropriate contacts.
  • Manage registration for all Creative Aging programs requiring advanced registration, make reminder calls, send reminder emails and prepare program rosters, and set up platforms that require online registration.
  • Manage logistics, including contracting, processing payments, travel arrangements, and facilities requests, in collaboration with the Learning & Engagement Coordinator.
  • Enter Creative Aging program details into museum calendars, databases, and project management tools.
  • Source and create new content for the Frye website and blog, and quarterly Creative Aging Programs newsletter, in coordination with the L&E Coordinator, Associate Director and Communications team.
  • Attend Creative Aging meetings and compile minutes and action items.
  • Participate in weekly Learning & Engagement team meetings.
  • Compile and format reports and presentations for the Associate Director, including content for board updates and other cross-departmental projects.
  • Inventory and order Creative Aging programs supplies.
  • Share ongoing and prospective donor information with Associate Director and Development team.

Desired Qualifications, Knowledge, and Skills

  • Demonstrated creativity, curiosity, collaboration, and a strong work ethic.
  • Professional or personal experience working with older adults, including adults living with dementia and their care partners.
  • Strong administrative skills, with the ability to prioritize and multitask across multiple projects both independently and collaboratively.
  • Excellent presentation and written communication skills to represent the museum with professionalism and enthusiasm.
  • Demonstrated positivity, flexibility, and ability to manage stress with humor, focus, and friendliness.
  • Ability to handle confidential information with discretion.
  • Fluency in English; proficiency in additional languages is a plus.
  • Availability to work evenings and weekends for programs and events.

Required Education/Experience

  • 2+ years of related work experience in museums, arts and cultural organizations, or senior living centers with a focus on adult learning programs.
  • Bachelors degree in art, education, humanities, museum studies, social work, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite, Zoom, and database systems.

Work Conditions

Work areas are inside, in a climate-controlled environment with light background noise. Work is occasionally performed at other indoor and outdoor event sites. Shift times may vary to meet the museum's requirement to staff the facilities and events. Work may require weekend and evening hours and extended periods of attendance at museum events.

Physical Activities Required to Perform Essential Functions

  • Ability to converse and exchange information for effective communication.
  • Remaining in a stationary location, standing or sitting, and occasionally moving through the museum, which is wheelchair accessible.
  • Regular operation of computer systems and other office equipment such as phones and printers.
  • Capacity to stay on-site for extended durations during museum programs and events.
