We are seeking a highly skilled and detail-oriented Marketing Technology Specialist to join our dynamic and growing client development team at a leading national law firm with more than 400 lawyers and 16 offices. The successful candidate will play a pivotal role in managing the data for the firm's marketing technology stack, which includes its Contact Relationship Management (CRM), Experience Database (Foundation), Intranet (Handshake), Website (Ruby Law), Analytics (SiteImprove and GA4). This individual will collaborate with the entire client development team and be responsible for ensuring the integrity, accessibility, and effective use of marketing data across these platforms, supporting the firm's overall marketing and business development efforts.

The successful candidate will play a pivotal role in managing the data for the firm's marketing technology stack, which includes its Contact Relationship Management (CRM), Experience Database (Foundation), Intranet (Handshake), Website (Ruby Law), Analytics (SiteImprove and GA4). This individual will collaborate with the entire client development team and be responsible for ensuring the integrity, accessibility, and effective use of marketing data across these platforms, supporting the firm's overall marketing and business development efforts.
Key Responsibilities
- CRM Management:
- Manage data in and optimize the firm's CRM system, HubSpot, ensuring accurate data and timely updates.
- Design and sustain CRM workflows, reports, and dashboards to boost client development.
- Experience Database:
- Maintain and improve the Experience Database, ensuring it houses accurate and detailed information on client matters, lawyer experience, and key achievements.
- Work with client development team to ensure content is accurate and up-to-date, and ensure data is tagged and categorized for efficient search and retrieval.
- Innovate the processes to track lawyer experience and the firm's engagements in real-time.
- Intranet and Website:
- Oversee the firm's Intranet platform including providing insight on areas ripe for engagement and train content stakeholders to empower them to update and maintain content on the intranet.
- Help maintain the integrity of the content and functionality of the firm's website (Phelps.com) ensuring it is aligned with the firm's branding, content strategy, and SEO best practices.
- Monitor website performance, analyze web traffic, and generate engagement insights.
- Spearhead phelps.com optimization using tools like SiteImprove and Google Analytics to ensure peak performance.
- Webinar Management
- Oversee the technical aspects of attorney webinars, ensuring smooth execution from start to finish.
- Collaborate with the client development team to organize all components, including training, development, testing, and practice sessions.
- Manage the live webinar process, optimizing for performance, recording sessions, and distributing on-demand versions for broader reach.
- Attorney Onboarding
- Coordinating photo, bio content approval and uploading to website
- Grant access to and teach new attorneys about client development technology used by lawyers for marketing and business development activities
- Data Management & Integration:
- Ensure seamless integration between CRM, Experience Database, intranet, website, and other related systems to streamline workflows and reporting.
- Regularly audit data for accuracy, eliminating duplicates and resolving data discrepancies to ensure high-quality information.
- Oversee the firm's data governance policies to ensure compliance with privacy regulations (e.g., GDPR, CCPA) and industry best practices.
- Representative Matter Tracking for submissions and proposals:
- Manage the mechanics of Chambers submissions, ensuring timely and accurate submissions.
- Track and capture representative matter information from Chambers submissions, RFPs, and pitches, ensuring it is accurately integrated into the appropriate technology platforms such as Foundation and HubSpot.
- Collaborate with attorneys and the client development team to refine submission processes and improve the quality of data captured.
- Reporting & Analytics:
- Develop and generate reports that provide insights into client engagement, business development efforts, website performance, and CRM use.
- Training & Support:
- Provide ongoing training and support to lawyers, marketing staff, and other users on how to effectively use CRM, Experience Database, and other MARTECH platforms that we currently use or will in the future.
- Troubleshoot technical issues and coordinate with IT and third-party vendors for platform improvements or problem resolution.
- Technology Evaluation & Improvement:
- Stay at the forefront of marketing technology trends, evaluating new solutions to amplify the firm's marketing prowess.
Required Skills and Qualifications
- Education:
- Bachelor's degree in Marketing, Information Technology, Business Administration, or a related field.
- Experience:
- Minimum of 3-5 years of experience managing marketing technology platforms, preferably in a law firm or professional services environment.
- Expertise in CRM systems (e.g., Salesforce, InterAction), Experience Databases, and content management systems (CMS). Preferably HubSpot.
- Proficient in web analytics tools (e.g., Google Analytics), SEO, and basic HTML.
- Strong understanding of data management principles, including data cleaning, integration, and reporting.
- Experience with intranet and website management, including content updates, user experience, and performance tracking.
- Technical Skills:
- Strong proficiency with Microsoft Office Suite, Excel (pivot tables), Power BI), and marketing automation tools.
- Proficient with CRMs.
- Familiarity with legal marketing technologies and databases is a plus.
- Knowledge of data privacy regulations and their application to legal marketing data management.
- Ability to train users on technical platforms.
- Soft Skills:
- Strong project management and organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent attention to detail and problem-solving abilities.
- Ability to communicate effectively with both technical and non-technical stakeholders.
- Strong interpersonal skills and the ability to collaborate across teams and offices.

- Certifications: CRM certification (e.g., Salesforce Certified Administrator), Google Analytics Certification, or similar.
- Law Firm Experience: Experience working within a law firm or other professional services environment is highly desirable but not required.
