Live in the Puget Sound Region of the State of Washington with a reasonable commute to Renton, WA. Approximately 50%—75% of the work is telework, and 50%—25% is in-person at our office, off-site, or partner locations. Must come into the office on an as-needed basis.
Organizational Overview:
The SEIU Healthcare 1199NW Multi-Employer Training Fund (Training Fund) is a non-profit, labor/management partnership including eight major healthcare employers and the largest healthcare union in Washington State. The Training Fund was formed in 2008 and is a statewide program that addresses the workforce needs of participating employers and supports the career, knowledge, and skill aspirations of SEIU Healthcare 1199NW members. The Training Fund is the sponsor of the state-registered Health Care Apprenticeship Consortium (HCAC) and of the Virtual Healthcare Institute (VHI) serving a range of regional employers, unions, union members, and student candidates.
Position Overview:
The Events and Onsite Promotion Specialist is responsible for implementing and supporting events, onsite presence, and promoting member relations to support the communications and community relations outcomes of the SEIU Healthcare 1199NW Multi-Employer Training and Education Fund (Training Fund). This position reports to the Director of Communications & Community Relations and is expected to work as an integral member of the Communications team, balancing independent initiative with department schedules and priorities.
This position plays a crucial role in event management and onsite promotion of the Training Fund’s programs and services. In collaboration with the Director of Communications & Community Relations, core duties involve acting as an onsite representative for the Training Fund’s diverse members and stakeholders, event support, and promoting awareness and interest in programs and benefits. This requires demonstrated proficiency and experience in event management, onsite promotion, marketing, and outreach to diverse cultural, linguistic, racial and socio-economic communities.
Essential Job Functions:
Incumbent must have the skills, abilities and judgment to perform the following essential job duties and responsibilities, with or without reasonable accommodation:
- Implements and supports marketing and onsite promotion of Training Fund programs, benefits and services for in-person, on-site, and virtual events.
- Identify online and in-person promotional opportunities (e.g., info sessions, tabling, celebration weeks, conferences, roundtables, career fairs, etc.) with relevant partners and achieve commitment to partnering with us for outreach coordination.
- Manages event registration, setup and staffing, implementation, and post-event follow up. Among other duties, this includes assistance with reserving venues, coordinating supplies and materials, arranging publicity, and tracking attendees.
- Compile and prepare event/onsite materials and swag to support events and outreach.
- Connect and interact with program participants (virtually, at their worksite, and/or other public spaces as needed) to assess support needs and identify potential success stories for follow up, within timeframes that complement program participant / member schedules (within reason).
- Provide back-up coverage for team members, as needed.
- Refers program participants to programmatic staff when appropriate, with a warm handoff and identifying other programmatic services and/or resources.
- Acts as an organizational representative in all situations, setting a strong example for other staff regarding professionalism, work expectations, and organizational commitment.
- Take an active approach to problem solving and process improvement for site-based promotion performance, efficiency, and outcomes.
- Establish work priorities in a highly organized manner while maintaining flexibility in scheduling and adhering to quality requirements, deadlines and deliverables.
- Participates as member of a team that recommends procedures and new systems to improve member experiences, efficiency, and outcomes.
- Performs other tasks and responsibilities as assigned by Director of Communications & Community Relations.
Required Skills/Abilities:
- At least two years’ experience in event management, marketing and promotion – or equivalent lived experience related to job skills and duties – with a proven track record in coordinating events.
- Exhibits keen attention to detail, organizational skills, and possesses the ability to comprehend and retain and implement specific policy information.
- Experience engaging and working with diverse publics, multiple partners, and stakeholders and addressing their unique needs.
- Ability to simultaneously track, prioritize, and evaluate multiple projects internally and externally, while ensuring efficient and timely follow up.
- Excellent time management skills with a proven ability meet deadlines.
- Proficiency with use of technology and database systems to regularly communicate, document and track member information.
- Ability to independently exercise a high level of judgment and adapt to changing situations especially in organizationally complex settings.
- Flexibility regarding hours; some weekends and/or early/late hours will be required.
- Ability to follow privacy policies (like the Health Insurance portability and Accountability Act (HIPAA), the Family Educational Rights and Privacy Act (FERPA) etc.) and respect confidential information.

- Excellent interpersonal communication skills, and conflict resolution skills
- Demonstrates strong project management skills. Proficient with Microsoft Office Suite, CRM databases, including, but not limited to Salesforce, Monday.com, Canvas, SharePoint, Zoom, Excel etc.

Desired Skills and Experience:
- Knowledge and experience supporting higher education, career counseling, and/or recruitment.
- Experience with current organizational software: Salesforce, Teams, Zoom, Monday.com, Excel, etc.
- Ability to work with and advance engagement with employer partners, labor unions and staff and to collaborate effectively in labor/management settings
- Proven record of working collaboratively to meet performance goals
- Bilingual skills preferred
Required Items:
- Successful completion of background check is required
- Valid Washington State Driver’s License and access to a reliable insured vehicle

Educational Requirements:
- Associate’s degree and at least two (2) years’ experience required, or equivalent lived experience related to job skills and duties.
- Bachelor’s degree (or equivalent demonstrated experience) preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 25 pounds at times
- Must be able to access and navigate the TF’s facilities, partner organizations, and classroom locations
Work Environment: Hybrid
This position provides services primarily in Washington State remotely and in person. Training Fund educational operations include limited program work in Oregon and Alaska. The position requires various “in-person” involvement with apprentices, employers, instructors, and community partners at multiple locations; other portions of this role will be split between telework work and the Training Fund office. This position will require travel on an as-needed basis and during some non-traditional hours (early mornings, later evenings, and occasional weekends) to meet with participants and attend meetings at locations such as hospitals, schools, public places (community buildings, event venues, etc.), and partner organization sites. Note: COVID restrictions may require a higher level of remote work.
Compensation:
- Compensation Range: $23.73 per hour to $31.89 per hour- DOE
- Competitive compensation and benefit package, including retirement benefit with employer contribution, medical and dental insurance.
