Job Summary
Assist store personnel in maintaining accurate, on-time reports and records relative to the service department’s operations, thus resulting in internal and external customer satisfaction and profitability. Additional areas of support include: answering phones, opening/closing invoices, advanced sales deposits, and daily bank deposits.

Essential Duties and Responsibilities

  1. Daily maintenance of time cards, warranty claims, and credits.
  2. Opens work orders as directed by the service manager and maintains open work orders using equipment, hours, technicians, repair work, and any other information needed.
  3. Reviews all work orders for accuracy before submitting to the Service Manager for final review.
  4. Directs incoming service related inquiries and scheduling requests to the Service Manager.
  5. Helps with data entry and customer follow-up for Service, Parts, and Sales departments.
  6. Maintains all filing and records for the service department.
  7. Keeps necessary supplies on hand and reorders when needed.
  8. Prepares customer invoices and takes payments when presented to the service office.
  9. Supports sales professionals with advanced sales deposits and transactions.
  10. Represents Van Wall Equipment with a professional and positive attitude, striving to protect the dealership image in a positive light while promoting customer loyalty.
  11. Consistently strives to improve knowledge and skills to stay up-to-date with industry trends.
  12. Maintains confidentiality with internal and external information.
  13. Submits, tracks, and resolves warranty claims.

Position Qualifications

  1. Possess basic knowledge of accounting practices and financial principles relative to the Service or Parts Departments.
  2. One year or more experience with office coordinating is a plus.
  3. Ability to use standard desktop applications such as Microsoft Office, Excel, and Internet Functions.
  4. General understanding of mechanical & technical terms.
  5. Knowledge of office procedures.
  6. Ability to speak effectively one-on-one and in a group.
  7. Familiar with John Deere and competitive products.
  8. Maintain a positive attitude, be a team player, and provide leadership within the store.
  9. Complete all duties as assigned.
  10. High School Diploma or equivalent required.
