Studio Coordinator
Role Overview
As the studio coordinator, your role will be to provide administrative support to the studio and especially to studio leadership. Duties will include word processing, data entry, and tracking the client and consultant documents required for the billing and payable process. You must be an accurate and organized team player and you will be expected to show effective time management and awareness of your impact on studio operations. We’re looking for someone with strong written and verbal communication skills, who’s willing to learn and able to balance multiple priority projects. Key Job Functions
- Create and/or review all KTGY generated client and vendor contracts.
- Follow up with client and vendors to obtain executed contract documents.
- Enter sub-consultant invoices into system for payment.
- Update and maintain various team files (project list, contacts, proposals, work for other teams, upcoming events, etc.)
- Manage and maintain studio employee’s professional license and membership records; obtain proper approvals and process payments as needed.
- Reconcile and submit corporate credit card transactions monthly according to deadlines.
- Coordinate project archiving, as needed.
- Provide back up support to other Studio Coordinators as needed.
- Schedule meetings for Principal and team members as needed.
- Arrange travel and conference registration for Principal(s) and other team members.
- Assist Principal with timecards and expense reports.
- Provide back up to the Front Office Associate when needed.
- Work to get consultant invoices approved and enter in sub-consultant invoices to be processed and paid.
Required Skills and Abilities
- Strong business oral and written communication skills.
- Proficiency with the Microsoft Office suite.
- Experience with Deltek and/or Vision preferred.
- Prior AP and contract experience preferred.
Required Education and Experience
- 4-year related degree and/or combination of required education and experience.
- Minimum of 2 years of experience in administrative duties in an office environment.
- Experience in architecture, engineering, and/or urban planning field preferred.
