Service Writer / Admin (Material Handling)

Position Overview

Essential Job Functions
- Serve as a liaison between customers and the dealership, ensuring clear communication and satisfaction.
- Promote customer satisfaction by enhancing labor and parts sales.
- Write up, monitor, review, and assist with job closings.
- Greet walk-in customers and handle incoming calls professionally.
- Accurately determine warranty eligibility and inform customers prior to service.
- Collaborate with the Service Manager to review daily work schedules and priorities.
- Ensure repairs are performed within quoted labor hours.
- Obtain customer signatures for job authorization when necessary.
- Process technician time cards and maintain service reports.
- Assist Parts Manager with ordering parts, inventory control, and restocking as required.
- Fill in at the parts counter when needed to support timely customer orders.
- Assist the Sales department with paperwork, including financial documents and machine orders.
Non-Essential Job Functions
- Ensure service personnel follow safety and company policies with support from the Service Manager.
- Review final invoices and verify work performed meets customer expectations.
- Assist with Service Department administration and report any important matters to the Service Manager.
- Support the Parts Manager with administrative tasks for the parts department.
Desired Skills/Abilities
- Strong work ethic with an ambitious and proactive attitude.
- Detail-oriented, with problem-solving abilities and minimal supervision required.
- Proficiency with Microsoft Excel & Word.
- Good mathematical skills.
Physical Demands and Working Conditions
- Ability to sit for extended periods.
- Reach to answer phones.
- Read paperwork and digital files.
- Communicate by phone and in person.
- Ability to walk on uneven terrain and stand for extended periods.
- Hear and respond to communication via radio, phone, and in person.
- Bend body to file paperwork and perform various job tasks.
Education
- High School Diploma or equivalent.
- Related experience may substitute for formal education requirements.
