Job Title: Events & Marketing Specialist
Location: On-site in Framingham, MA and Marlborough, MA (Travel required)
Duration: 1 Year Contract (with possible extension)
Job Description:
The Events & Marketing Specialist is a dynamic and multifaceted role responsible for supporting both event management and marketing initiatives across the Americas region, including the USA, Canada, and Latin America. This individual will work directly with the Americas Conference & Events Manager and the Marketing Project Manager to plan, organize, and execute tradeshows, conferences, and events, as well as contribute to the marketing efforts aimed at enhancing the business presence in various market segments.
Responsibilities:
Event Support (70%):
- Manage & Execute Trade Show Participation: Oversee and coordinate all aspects of tradeshow participation, including travel arrangements and logistics for events across key market segments such as Biopharma, Pharma, Life Science Research, Clinical/Forensic, and Food/Environment.
- Lead Generation & Conversion: Ensure effective lead generation during events, track leads, and support the conversion from leads to opportunities.
- Collaborate with Teams: Work closely with the marketing communications team, market development managers, sales associates, and external vendors (including exhibit house personnel) to select and prepare booth assets for events.
- Manage Inventory: Oversee the inventory of booth properties, display instruments, and collaborate with the exhibit house to ensure everything is well-organized and maintained.
- Regional Tradeshow Coordination: Help manage the regional tradeshow calendar, submitting exhibit applications, managing content requested by conference organizers, ordering show services, and handling logistics related to food, beverage, and audio-visual requirements with venues and vendors.
Marketing Support (30%):
- Assist in Marketing Campaigns: Support the creation and execution of marketing communication campaigns, ensuring that all materials align with brand guidelines.
- Content Development: Aid the marketing team in creating visually compelling content for various platforms, in line with the company's brand and marketing goals.
- Campaign Monitoring: Track and analyze the effectiveness of marketing campaigns, using analytics tools to assess performance.
- Documentation and Reporting: Maintain tradeshow planning documents and manage timelines for event-related marketing initiatives.
Additional Duties:
- Perform other duties as assigned related to event management, marketing, and cross-department collaboration.
Travel & Physical Requirements:
- Ability to travel overnight as required for tradeshows and events.
- Must have a valid driver's license and an acceptable driving record.
- Ability to lift and move equipment up to 40 lbs.
Preferred Qualifications:
- Bachelor's degree in Marketing, Communications, Public Relations, or a related field.
- 1-3 years of event planning, tradeshow management, and marketing experience.
- Basic understanding of digital marketing and social media platforms.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with content management systems and email marketing tools is a plus.
- Strong project management skills, including the ability to manage timelines and deliverables.
- Proven ability to thrive in a fast-paced, deadline-driven environment.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Creative thinking and problem-solving abilities.
- Strong organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
