OVERVIEW This position is located at the Smithsonian Institution, office of the Undersecretary for Museums & Culture, Center for Folklife & Cultural Heritage, Smithsonian Folkways Recordings (SFR). SFR is the non-profit label of Smithsonian Institution (SI). As part of the Smithsonian Center for Folklife and Cultural Heritage (CFCH), its mission is to record, produce, and disseminate music by, for, and of the people. To date, this has led to making available almost 65,000 tracks in physical and digital formats, spanning over a century of music and sounds from Americana to world music, from spoken word to natural phenomena, with over 80 million listeners a year. In response to changes in society, technology and the music industry, Smithsonian Folkways is seeking to explore new business models and expand its activities in the realms of research, education, and community engagement. This position serves as a project manager, managing both individual and team projects from conception through to completion.
DUTIES AND RESPONSIBILITIES Administrative Project Management
The incumbent supports all other SFR Managers on multiple and simultaneous projects and in a variety of ways. Maintains schedules; prepares procurement requests; drafts scopes of work for contracts; and develops portions of budgets. Troubleshoots procurement and contracting issues. Assists with maintenance of budgeted expenditures on a by line item expense basis. Manages the internships or fellowship functions for SFR. Coordinates opportunities, managing stipends and onboards selectees for interns and fellows. Resolves administrative problems. Researches, writes and tracks grant proposals, and coordinates the status of projects with SFR external producing partners. Works with Director/Curator and Associate Director of Operations to manage conversations on ethical issues as they pertain to the SFR catalog. Reliably ensures that special projects move forward in a timely and effective manner. Educational Project Management and Web Content Assistance
Works pro-actively with educators, educator networks, and education organizations to facilitate the development of educational materials utilizing SFR content. Ensures that educational content accurately represents the culturally diverse musical traditions presented. Assists Web and IT Director with simple website content updates as needed. Works with Web and IT Director to gather and process internal requests for website changes needed. Procurement
Orders a wide variety of goods and services including for office, education or research, honoraria, and conferences. Financial Tracking and Processing
Determines or verifies financial and other codes based on transaction, source, purpose and program. Travel Management
Reviews travel authorizations and vouchers in online system and obtains necessary approvals. General Office Support
Demonstrates and applies knowledge of SFR/CFCH organizational policies, procedures, programmatic mission, goals and priorities.
QUALIFICATION REQUIREMENTS
Knowledge of project management principles, methods, practices, gained through experience. Ability to effectively coordinate the work of internal and external project teams. Knowledge to use project management software, including MS Teams and MS Office. Knowledge of educational content creation that incorporates culturally diverse musical traditions. Ability to use web development technologies, including HTML5, and Adobe CC. Knowledge of a wide range of technologies, including content management systems. Ability to manage the interns/fellows’ program. Knowledge of Ethnomusicology for content production and review. Knowledge of administrative and financial recordkeeping. Ability to reconcile purchase card transactions and to process, track and reconcile invoice payments. Knowledge of organizational travel procedures and office administration practices. Ability to communicate in writing to prepare correspondence, reports and other written material.
