We are seeking a highly organized and communicative Client Relations Coordinator to help manage scheduling, client communication, and project coordination. As the first point of contact for many clients, you will be key in ensuring smooth operations and exceptional customer service.
Responsibilities:
Client Communication & Coordination
- Serve as the first point of contact for client emails and inquiries.
- Direct emails and messages to the appropriate team members.
- Respond professionally to client questions about video projects, scheduling, and timelines.
- Maintain positive relationships with clients by providing timely updates on projects.
- Coordinate and schedule video shoots with clients, videographers, and editors.
- Ensure all necessary production details (location, time, equipment needs) are properly communicated.
- Send out calendar invites, confirmations, and reminders for scheduled shoots.
- Work with the production team to manage availability and avoid scheduling conflicts.
- Keep track of ongoing projects and ensure deadlines are met.
- Maintain a shared project tracker to ensure smooth workflow across the team.
- Assist in gathering client assets (logos, scripts, reference materials) before production.
- Communicate client requests and feedback to the video editing team.
Qualifications:
- Strong written and verbal communication skills must be professional and client-friendly.
- Excellent organizational skills the ability to manage multiple projects and schedules at once.
- Experience with scheduling software (Google Calendar, or similar tools).
- Ability to work independently while coordinating with a fast-paced production team.
- Familiarity with video production, media, or real estate industries (preferred but not required).
- Experience with CRM tools, project management software, or email management (Salesforce, Aryeo, etc.) is a plus.
