As a Creative Production Coordinator at Brains, you’ll be an essential part of our creative production team, supporting the smooth planning and execution of commercial and campaign photo/video projects. This is a role for someone highly organized, resourceful, and eager to learn the ins and outs of creative production. From managing schedules to supporting on-set logistics, you’ll be a key player in bringing our creative visions to life while growing your own expertise in production management.

Key Responsibilities:

Project Coordination & Organization

  1. Support production schedules, timelines, and workflows using tools like Asana, Google Docs, and Google Calendar. Keep project files organized, including research, budgets, contracts, and documentation.
  2. Facilitate communication between teams, ensuring follow-ups happen and stakeholders stay accountable.
  3. Draft agendas, take clear meeting notes, and share updates with relevant team members.
  4. Assist with expense reports, invoice tracking, and vendor payments, ensuring budgets remain accurate.

Production Support

  1. Help manage logistics for shoots, including scheduling location scouts, coordinating travel, and supporting on-set needs.
  2. Research and vet vendors, suppliers, and freelance crew, ensuring they meet Brains’ standards.
  3. Assist in drafting and tracking usage agreements and other production-related documentation.
  4. Act as an on-the-ground production assistant during shoots, stepping in to troubleshoot logistical issues as they arise.

Process Improvement & Growth

  1. Assist in creating project briefs, presentation decks, and informational materials to communicate production goals.
  2. Identify opportunities to streamline workflows and suggest process improvements.
  3. Collaborate with internal teams to maintain and update the in-house vendor and crew roster.
  4. Take initiative in learning new production tools and techniques to grow within the role.

Qualifications & Experience:

  1. 3+ years of experience in commercial/agency production.
  2. Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  3. Strong communication skills, with a collaborative mindset and the ability to work cross-functionally.
  4. Familiarity with budget management, invoice processing, and financial reporting, with a willingness to learn.
  5. Proficiency in tools such as Asana, Google Workspace, and other project management platforms.
  6. A proactive, self-starter attitude with the ability to identify and execute solutions independently.
