Job Description
Job Title: Community Association Manager
Job Overview: The Community Association Manager’s role is to effectively manage and successfully execute the business processes of the Association day-to-day operations in accordance with company policy, procedure, and current law, and to provide leadership to the Board of Directors to encourage Board policy decisions that align with the Board Members’ fiduciary responsibility to the Association and reduce Board Members’ risk.
Duties & Responsibilities:
· Communicate with Boards of Directors, vendors, and homeowners regarding the essentials of their duties and community items.
· Respond to and manage homeowner maintenance and other requests.
· Provide fiscal management through budget preparation, monthly reporting, oversight of accounts receivable collection, and invoice approval.
· Provide guidance to Board members on best practices for Association management and governance and help the Boards meet their fiduciary duties.
· Coordinate and attend Board and member meetings (often during the evening), including notice preparation, minute keeping, and voting procedures.
· Prepare Board meeting packets and Management Reports. Maintain action item lists and follow-up accordingly.
· Perform site visits for the purpose of oversight of client vendors and administration of client’s enforcement processes and procedures.
· Assist Boards with architectural review and approval process.
· Assist Boards with contract and bid solicitation, approval, and project oversight.
· Respond to e-mails and phone calls daily.
Requirements:
· Proven proficiency in learning new technology.
· Outstanding written and oral communication skills.
· Excellent time management skills and ability to be detail oriented.
· Proficiency in Microsoft Office applications (Word, Excel, Outlook).
· Adaptability and versatility.
· Proven capability to review and analyze financial reports.
· Familiarity with insurance in accordance with Association documents and legal requirements.
· Grasp of contractual bidding processes.
· Knowledge of proper meeting order and minute requirements. Ability to attend 1-5 evening meetings per month.
· Familiarity with architectural review process.
· Ability to create and maintain a proper working budget.
· Excellent customer service skills.
· College degree preferred and/or equivalent property management industry experience.
· Valid driver’s license, automobile, and daily use of automobile.
