Position Overview:

Malbon Golf is seeking a highly organized and detail-oriented Marketing Operations Manager to oversee the day-to-day operations of both the wholesale channel and marketing initiatives. This role will be key in ensuring seamless execution of marketing campaigns, brand partnerships, marketing events, and wholesale processes, with a focus on driving operational efficiency and cross-functional collaboration. The ideal candidate will have a strong background in both apparel wholesale and marketing operations, excellent project management skills, and the ability to lead diverse teams toward achieving business goals.

Key Responsibilities:

Marketing Operations & Project Management:

- Campaign and Project Coordination: Lead the operational side of marketing campaigns by managing timelines, deadlines, and deliverables across cross-functional teams (sales, production, creative, and external partners). Ensure all marketing projects run smoothly and efficiently.

- Project Management Tools: Maintain and update project management platforms (e.g., Monday board, Asana) to track the status of campaigns, tasks, and key initiatives, ensuring full alignment across teams.

- Marketing Support: Collaborate with internal teams to ensure all marketing initiatives align with brand goals, product availability, and inventory levels. Support the development of marketing materials (product images, copy, etc.) to be shared with sales teams and brand partners.

Brand Partnerships Management:

- Partner Coordination: Schedule and facilitate regular meetings with brand partners, ensuring clear communication on project timelines, milestones, and deliverables.

- Campaign Tracking: Track the progress of ongoing campaigns, ensuring that brand partnerships are executed to the highest standard. Act as the primary point of contact for partners to address questions and maintain alignment.

- Reporting & Follow-up: Prepare regular reports for internal stakeholders on campaign progress and outcomes. Send follow-up communications to brand partners to ensure continuous alignment and address any concerns.

Sales / Marketing Operations Collaboration:

- Order and Inventory Management: Oversee daily operations of the wholesale department, ensuring timely product availability through close coordination with supply chain and planning teams. Maintain and update wholesale order books.

- Inventory Accuracy: Conduct regular audits of inventory, ensuring accurate stock levels and minimal discrepancies. Optimize inventory turnover while minimizing excess stock.

- Returns and Credit Management: Oversee the returns process, credit notes, and the reporting of damaged goods in the wholesale channel.

Embroidery Program & Event Coordination:

- Embroidery Program Management: Develop, manage, and oversee the wholesale embroidery program. Coordinate with the creative team and external embroidery partners to ensure projects align with brand standards and timelines.

- Event Coordination: Support the planning, execution, and logistical aspects of marketing events, product launches, and activations. This includes vendor coordination, material management, and post-event follow-up.

- Embroidery Project Management: Work with the creative and sales teams to ensure embroidery orders are processed smoothly, from tech packs to final production and delivery.

Cross-Functional Collaboration:

- Team Collaboration: Work closely with the Sales, Production, and Creative teams to ensure marketing initiatives are aligned with inventory and product availability. Help ensure marketing materials are distributed on time to all internal teams and partners.

- Creative & Sales Support: Collaborate with the creative team to ensure marketing collateral and campaigns reflect the brand's vision. Ensure sales teams have the tools and materials needed for success, including updated product information and marketing assets.

Sample Management for Athletes and Photoshoots

- Athlete & Embroidery Coordination: Assist the Sports Marketing team with athlete orders, including embroidery and cresting programs. Work with embroidery partners and internal creative teams to ensure timely production and quality standards.

Administrative & Reporting Support:

- Operational Reporting: Prepare regular reports and presentations for internal stakeholders on campaign performance, project statuses, and any operational challenges or opportunities.

- Calendar and Meeting Management: Maintain up-to-date calendars for marketing meetings, events, and deadlines. Help coordinate internal and external communications to ensure efficient workflow.

- Administrative Tasks: Handle general administrative duties related to marketing and wholesale operations as needed.

Compliance & Quality Control:

- Compliance & Standards: Ensure compliance with company policies, industry regulations, and quality standards across both wholesale and marketing operations.

- Quality Control: Oversee the implementation and monitoring of quality control procedures in both marketing initiatives and wholesale processes to maintain product excellence and brand integrity.
