Summary The Development and Communications Administrator, reporting to the Director of Development and Communications, plays a vital role within the Development and Communications team and the organization. This team's primary responsibility is to secure essential funding to offer life-saving care to animals within our shelters, and in the wider community. The ideal candidate possesses enthusiasm for nurturing donor relationships, excels in data analytics and fundraising strategies, and possesses a proficient understanding of database management. Key responsibilities include precise revenue data entry, overseeing acknowledgment letter processing, and compiling data analytics. In addition, the role actively engages in cultivation and stewardship events and supports the team in other capacities as needed. Maintain the donor database Ensure accurate donor information, details, and coding of donors and payments. Enter donations received into the donor database by gathering information from checks, workplace giving platforms, direct deposits, and in-kind form. Document all donor interactions (phone calls made/letters sent/etc.) in Salesforce. Serve as the internal subject matter expert on our database. Administrative Support Provide executive administrative support to the Chief Executive Officer, involving strategic and confidential matters. Schedule Board events and meetings and manage logistics of the meetings (i.e. set up, IT, room scheduling). Take meeting notes as needed. Data analytics Process revenue reports and reconcile information ensuring accuracy and completeness. Respond to ad-hoc reports and requests (board requests, donor inquiries, etc.). Create current donor, mailing, and email lists for events, appeals, and annual reports. Update donor, outreach, and adoptions contacts in our Salesforce database. Track communications and outstanding pledges from a variety of donor types to ensure excellent donor stewardship and follow-up. Prepare and maintain monthly summary reports, dashboards, and major donor moves management and event reports. Run regular reports on fundraising progress, outcomes of specific fundraising efforts, and donor trends. Assist with grant reporting. Donor Stewardship Process timely acknowledgment letters and customize content to ensure relevance and meaningfulness for each donor. Communicate with donors to ensure contact information and payment details are correct. Record donor notes, send donors materials, and perform other tasks as needed. Maintain the Monthly Donor program in conjunction with the Director of Development, including tracking monthly donor data, stewardship, and continual outreach to monthly donor prospects. Communications Support for design and deployment of mass emails. Assist with website updates and calendar updates. Support in flyer and signage design and printing when needed. Support management of our digital assets. Assist with social media management as needed. Events Support event registrations and pre-event payments. Research and manage vendor relations. Help manage in-shelter tours. Other duties as assigned. Experience Experience in database management highly prioritized, with a desire to learn new systems. Strong history of completing projects with rigorous accuracy. Knowledge of donor prospecting tools preferred. Experience managing a variety of highly detailed tasks simultaneously, including confidential/sensitive matters. Track record of providing excellent customer service. Ability to build and retain quality relationships with various populations: Board, staff, funders, donors, etc. Skills Unquestioned integrity, professional demeanor, and authenticity in building relationships.
