We are seeking a highly detail-oriented individual who thrives in fast-paced, time-critical environments. As the primary on-site contact for assigned GTM executive briefings and events, you will collaborate with cross-functional teams to conceptualize, plan, and execute both in-person and virtual events. This role demands exceptional coordination skills, acute attention to detail, strong time management, and the ability to manage multiple projects simultaneously.

Responsibilities:
- Event Coordination:
- Serve as the primary on-site contact for GTM executive briefings and events, including dinners, small receptions, and virtual briefings with C-level executives, portfolio companies, network members, and partners.
- Collaborate with cross-functional teams to conceptualize and plan events, ensuring clarity on deliverables, timelines, roles, and responsibilities.
- Logistics Management:
- Manage all aspects of small event planning logistics such as securing meeting spaces, catering, venue selection, vendor sourcing, shipping materials, and arranging audio/visual equipment.
- Execute day-of event operations, overseeing room setups, catering, audio-visual needs, managing virtual meetings, and troubleshooting any on-site issues.
- Data & Communication:
- Maintain up-to-date contacts in the Salesforce system and ensure data quality across Google Workspace, BriefingSource, and Zoom.
- Synthesize information quickly and communicate effectively with diverse audiences both in writing and verbally.
- Build rapport and trust with internal and external stakeholders through a collaborative, team-first approach.
What You’ll Be Excited To Do:
- Plan and execute seamless in-person or virtual events, ensuring all attendees receive relevant event details and support.
- Manage event logistics including setup, catering, and post-event breakdowns to guarantee smooth operations.
- Maintain data integrity and accuracy within our systems to support informed decision-making by the team.
- Collaborate with GTM leaders and team members to continuously improve event strategies and execution.
Minimum Qualifications:
- Bachelor’s degree or equivalent experience.
- 2-4 years of events experience; previous hospitality experience is a bonus.
- Knowledge of basic food and beverage arrangements including sourcing venues, contracting, budgeting, and menu planning.
- Highly organized with operational and organizational excellence and exceptional attention to detail.
- A proactive mindset with the ability to foresee potential roadblocks and swiftly generate solutions.
- Proven ability to work effectively in a fast-paced, fluid environment while managing multiple projects.
- Strong interpersonal skills with a low-ego, high-empathy approach, enabling effective collaboration with diverse teams.
- Hands-on experience with Google Workspace, Salesforce, BriefingSource, and Zoom.
- Excellent communication skills, both written and verbal, with the ability to synthesize and present information clearly.
