Job Overview

The Design Coordinator is responsible for organizing, managing, and facilitating the design process for a project, from concept development through completion. This includes overseeing project documentation, coordinating photo shoots of completed projects, staying up-to-date with the latest design trends and materials by attending industry events, and maintaining an active presence in both the office and the field. The role ensures all creative elements align with project objectives, budgets, and brand standards.

Key Responsibilities

  1. Design Management
    • Collaborate with designers, architects, engineers, and contractors to develop and review project designs.
    • Ensure all designs meet aesthetic, functional, and regulatory requirements.
    • Coordinate revisions and updates to designs as needed.
  2. Project Coordination
    • Act as the primary liaison between design teams, clients, and project stakeholders.
    • Monitor and track the progress of design activities to align with project timelines.
  3. Documentation Management
    • Oversee the preparation of design documentation, including drawings, renderings, and specifications.
    • Maintain accurate records of meetings, decisions, and design changes.
    • Ensure that all design documentation is up to date and accessible to team members.
  4. Photo Shoot Coordination
    • Plan, coordinate, and manage professional photo shoots for all completed projects.
    • Collaborate with photographers, stylists, and other vendors to ensure high-quality project representation.
    • Oversee the selection and preparation of locations, ensuring they reflect the intended design vision.
    • Manage post-production processes, including photo selection, editing, and distribution to stakeholders.
  5. Trend Research and Material Sourcing
    • Stay current with the latest design trends, materials, and techniques by attending showroom events, product launches, and industry presentations.
    • Build and maintain relationships with material vendors, manufacturers, and showroom representatives.
    • Evaluate and recommend new materials and design innovations for integration into projects.
    • Compile and present findings to the design team for incorporation into ongoing and future projects.
  6. Quality Assurance
    • Review and ensure the quality of design deliverables before submission.
    • Conduct regular audits of designs to ensure compliance with brand standards and project goals.
  7. Finish Schedule Responsibilities
    • Keep a catalog of all finish schedules in both the office and job sites.
    • Manage material selection requests and ensure signature sign-offs from the designer or owner.
    • Maintain a log of all material selections in the office and job site, ensuring updates are consistently reflected in Fieldwire.
  8. Problem Solving
    • Address and resolve design-related issues that may arise during the project lifecycle.
    • Provide innovative solutions to design and documentation challenges while maintaining project integrity.

Qualifications

  • Education:
    Bachelors degree in design, architecture, interior design, or a related field.
  • Experience:
    2-5 years of experience in design coordination, project management, or a similar role. Experience with professional photo shoots and attending design events is a plus.
  • Skills:
    • Proficiency in design software (e.g., AutoCAD, Revit, Adobe Creative Suite).
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Knowledge of industry trends, materials, and event coordination.
  • Certifications:
    Relevant certifications (e.g., PMP, LEED, NCIDQ) are advantageous but not required.
