DESCRIPTION
PURPOSE
To assist the Chief Operating Officer and the Director of Music Operations with the administration of the Music Operations Department and support the Chorus and Dance Manager with administering Chorus rehearsals.
EDUCATION
Bachelor’s Degree in Music or equivalent training relative to orchestral music and opera.
EXPERIENCE
Two (2) years experience in a performing arts organization, preferably multi-repertory operatic or symphonic. Knowledge of opera performance preferred.
PREREQUISITE SKILLS & REQUIREMENTS
High level of proficiency in Microsoft Office applications with Word and Excel skills essential, including use of formulas and functions, conditional formatting, multi-sheet documents, etc.; database skills desirable.
Ability to perform complex tasks with attention to detail.
Familiarity with the basic logistics of live performance.
Proficiency in Microsoft Office applications; database and Adobe Acrobat skills.
Ability to work independently, prioritize tasks and exercise good judgment and initiative.
Ability to manage multiple, competing priorities successfully.
Ability to thrive in a fast-paced, rapidly changing environment.
Outstanding communication, both written and verbal, and organizational skills.
Ability to work evenings/weekends as necessary.
ESSENTIAL JOB FUNCTIONS
Support the Chief Operating Officer and Director of Music Operations with department projects as assigned, including attending meetings, taking notes, and following up on action items as needed.
Support the Chorus and Dance Manager with administering rehearsal for the Chorus and serving as backup for the preparation of weekly payroll.
Support the Chief Operating Officer and Director of Music Operations with maintaining and updating annual producing calendars.
Participate in the development, communication and implementation of master calendars for the Music Operations department, including orchestra, chorus and dancers.
Collaborate with Rehearsal and Production departments to ensure a seamless scheduling process between annual schedules and weekly/daily schedules, and to simplify processes currently required to transfer information between different schedules.
Attend weekly in-season schedule meetings run by Rehearsal Department and assist in troubleshooting repertory daily company schedule issues where needed.
Process payment requests across the Music Operations department, including sensitive personnel information.
Support the Chief Operating Officer and Music Operations team in processing agreements, tracking payment schedules and other due dates/deadlines.
Work closely with the Director of Music Operations to prepare, distribute and maintain the annual Critical Factors.
Support the Music Operations team by processing annual re-engagement letters, leave requests and tenure resolutions for all orchestra musicians, choristers and dancers.
Collaborate with the Director of Music Operations for all deadline management related to AGMA and AFM.
Generate contracts for visiting artists, including sensitive personnel information.
Serve as backup for Music Operations staff, including rehearsal and performance coverage, attendance tracking, leave request management and orchestra and chorus audition support.
Maintain and update Music Operations content on the website and in program books.
Track use and purchase of regular and specialized office supplies and equipment.
Other duties as assigned.
EQUIPMENT THAT MUST BE OPERATED TO PERFORM THE POSITION ACCEPTABLY:
Computer, printer, copier, binding machines, scanner, paper-cutter, telephone and other general office equipment and machines.
WORKING CONDITIONS:
Indoors with temperature and noise levels typical of this environment. Occasional outdoor duties.

BENEFITS
Pay Range: $30 - $34 Hourly. This position is eligible for benefits including medical, dental, and vision insurance, retirement plans, PTO, etc.
