CONTRACTS ADMINISTRATOR:
- Prepares project contracts and obtains required signatures.
- Initiates, reviews and processes all contract documentation.
- Ensures the completion of all administrative items related to contracts.
- Assists with the development and monitoring of project budgets, schedules and staffing.
- Reviews all activity related to contracts and ensures that work is proceeding in accordance with the terms of the agreement.
- Forecasts and detects potential fee overruns and/or variances to the terms of agreements.
- Prepares Consultant agreements as necessary.
- Prepares all billings for Consultants (i.e. Engineering, Design Partners, etc.).
- Assists in monitoring Consultant’s performance.
- Interacts with Corporate Accounting to resolve account receivable issues.
- Attends staffing, project and client meetings as requested.
STUDIO ADMINISTRATOR:
- Processes expense reports.
- Assists with phone support - answers and routes incoming calls.
- Greets office visitors.
- Handles incoming and outgoing mail and deliveries.
- Answers routine correspondence.
- Establishes and maintains files.
- Ensures office brand maintenance and cleaning of meeting rooms and kitchen.
- Orders office supplies.
- Assists with program and special projects as needed.
Education:
Associate’s degree or equivalent experience.
Work Experience:
3+ years’ related work experience. 1+ year accounting experience preferred.
Knowledge, Skills & Ability:
- Familiar with the commercial interior architecture and/or design industry.
- Advanced analytical skills.
- Intermediate accounting and financial forecasting skills.
- Intermediate verbal and written communication skills.
- Advanced presentation, persuasion and negotiation skills.
- Proven ability to communicate effectively with diverse populations.
- Proven ability to take responsibility for a project and to follow-up with involved individuals until all issues are resolved.
- Proven ability to multi-task and attention to detail.
