Responsibilities:
- Maintaining schedules, calendars, and all track sheets (Google Docs, Excel) with upcoming events, venue walkthroughs, conference calls, etc.
- Assisting the design team with writing and updating client proposals, and validating when a proposal can be sent to a client
- Creating expense reports, tracking all signed contracts, receipts, deposits and payments from clients
- Following up with the team post-event to complete a show report describing all elements of the event that went well or could have been executed better, and any comments about freelance crew and/or gear that will be beneficial for the team to be aware of for future events
- Creating crew lists for freelance crew required on all events
- Creating RFPs and POs as needed for specific equipment needed on events and coordinating delivery of equipment to the in-house shop and/or venue
- Coordinating delivery of client packages post-event as needed
- Making sure the team has all needed gear, crew, and design plots completed in a timely manner before an event and weekly production meetings
- Maintaining and updating sales projections for the team designer for events throughout the year
- Maintaining and updating client accounts, contacts, and opportunities for team designer
- Continuously updating confidential files and client database
Required Skills:
- Clear knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and general computer skills
- Excellent communication and telephone etiquette
- A positive attitude, a desire to learn, grow, and take on new projects. Not afraid to ask questions
- Must be comfortable with basic math and Excel spreadsheet analyzation
- Must be organized, self-motivated, and comfortable working in a fast-paced environment
