Job Description

Our Marketing and Communications team is seeking candidates for the position of

Communications Assistant . This pivotal role on our highly creative, collaborative team will create and maintain organizational structure and tools for marketing and communications projects. This includes direct support of department processes and project management, purchasing protocols/invoice processing, tracking and maintaining metrics, maintaining subscriptions and software licenses, backup for other administrative support staff, and providing light writing/editing support for the team. The successful candidate will need to be able to perform with poise under tight deadlines and shifting priorities and successfully navigate a complex, fast-paced organization.

First review of applications will take place on March 3, 2025 . Other duties include:

Establishing, modifying, and maintaining a system for tracking the progress of work that is the responsibility of management and staff; training and orienting new employees; providing support for relevant policies, procedures and projects; composing routine correspondence.

Scheduling and canceling appointments; maintaining calendars; scheduling rooms/meetings; coordinating audio visual and training equipment; performing/coordinating several administrative functions, including tasks to support department/agency leadership and governing boards; creating/typing complex technical documents; proofreading for spelling and grammar; using multiple software applications to prepare information. Using spreadsheets or databases to organize information and produce standard reports; preparing a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval; compiling and maintaining reports and financial statements; greeting visitors, maintaining and administering appropriate safety procedures in secured environments. Setting up accounts; reconciling ledgers; gathering data for use by others in preparing budget; preparing a wide variety of accounting forms; reconciling accounts receivable/payable; identifying discrepancies and making corrections; collecting required documents; preparing expense vouchers and/or invoices. Verifying request for goods and services against County contracts and funding sources; ordering goods or services and following up/resolving discrepancies and ensuring delivery; ensuring appropriate routing and approval of purchase requests.

Job Requirements

Minimum Job Requirements: High school diploma or equivalent and two years of administrative support experience are required.

Johnson County Government requires reference/background screening for all positions.

Specified criteria may vary by Department/Agency.

Preferred Qualifications: Strong writing/editing skills, experience in library or marketing/communications environment, project management training/certification, and experience with marketing project management systems preferred.

Associate's degree in Business Administration or related field is also preferred.

Education/Experience Substitutions: Experience may be substituted for degree. Education may be substituted for experience.

Physical, Environmental, and Special Working Conditions: All County employees may be called upon to assist other departments/agencies in a declared emergency situation.
