Graphics Coordination

  • Monitor and maintain the graphics inbox, filemaker order database, mounting schedule, schedule by artist and virtual order queue
  • Prepare and coordinate special graphic requests and projects
  • Collaborate with graphic artists, coordinators and die mounters to ensure all orders /requests are handled efficiently and within established timelines
  • Coordinate and track all steel die orders, modifications and spec outs
  • Communicate with all external suppliers

Customer Service

  • Advise customers, sales and internal departments on all art related requests and inquiries
  • Provide information pertaining to graphic requirements, machine specifications, order status' and timelines
  • Investigate technical/complex graphics related issues and work with internal teams to identify immediate and future solutions
  • Distribute completed paperwork to customer service departments

Administration

  • Monitor and facilitate graphic order requests and inquiries
  • Evaluate order information for accuracy and obtain corrected or missing information and files
  • Request and issue purchase orders for steel rule dies, mounting supplies, farmout print dies, etc.
  • Check and sign off on artist work after distribution of final paperwork to customer service
  • Upload .cxf files and maintain records for all new specialty inks
  • Review, verify and prepare costing info for invoicing
  • Prepare and set up packages for pick up and delivery with internal/external couriers

Required Qualifications

Education

  • Secondary school diploma - Graphic Communications or equivalent program/ courses considered an asset

Experience

  • 2 to 4 years administrative or relevant industry experience - Coordinator or similar role considered an asset.

Knowledge/Skills/Abilities

  • Professional verbal and written communication skills. Intermediate knowledge of Microsoft Office and Macintosh operating systems
  • Strong attention to detail, accuracy, efficiency and organization
  • Highly analytical thinker with very strong problem-solving skills
  • Excel at managing multiple projects while meeting departmental goals and deadlines
  • Intermediate knowledge of structural design, layout, image editing software (i.e. Adobe Illustrator) and various printing methods considered an asset
