Job Description
We are seeking a highly organized and detail-oriented Marketing Coordinator to support our marketing team with project management, asset organization, and administrative tasks. This part-time role is ideal for someone who thrives in a fast-paced environment, has a knack for coordinating multiple moving parts, and enjoys diving into creative and operational work. The Coordinator will also play a key role in managing our online brand presence, including organizing assets, maintaining digital tools, and supporting marketing campaigns.
KEY RESPONSIBILITIES
Project Management & Coordination
- Set up, track, and manage marketing projects in Asana or other project management tool.
- Ensure all tasks, deadlines, and dependencies are up-to-date and proactively follow up with team members and contractors to ensure on-time completion.
- Coordinate meetings and manage the CMO’s calendar, including scheduling, preparing agendas, and sending follow-ups.
- Distribute project summaries and status updates to keep the team aligned.
Brand Asset Management
- Maintain and organize the department’s digital asset library in brand asset management software (e.g., photos, videos, brochures).
- Use AI tools to tag and categorize assets for easy search and retrieval.
- Manage file-sharing permissions and generate shareable links for partners, contractors, and press.
- Track commonly used assets to identify trends and improve library efficiency.
External Correspondence & Relationship Building
- Serve as the first point of contact for donation and sponsorship requests: vet inquiries, escalate qualified requests, and respond professionally on behalf of the marketing department.
- Assist with initial outreach and follow-ups for local partnerships with CVBs, hotels, and attractions.
- Draft and send professional emails and correspondence on behalf of the team.
Website and Graphic Design Support
- Make basic updates to the company website (e.g., adding new photos, updating descriptions, or adjusting seasonal information).
- Work within the company’s booking software to update descriptions and create bookings.
- Create simple graphic design assets, such as:
- Social media graphics and posts.
- Email headers and visuals for campaigns.
- Flyers and promotional materials.
Content and Campaign Support
- Proofread and edit marketing materials, including email newsletters, blog posts, and social captions.
- Assist with resizing and formatting media for campaigns (e.g., resizing images for social platforms).
- Compile basic campaign metrics (e.g., email open rates, ad performance) for reporting.
Administrative Support for the CMO
- Manage the CMO’s calendar, including scheduling meetings, blocking time for campaigns, and booking travel if needed.
- Take notes during key meetings, organize them into actionable tasks, and distribute them to the appropriate team members.
- Distribute press releases electronically.
Peak Season Responsibilities (May–October)
- Monitor and respond to online reviews on platforms such as Google, TripAdvisor, Yelp, and Facebook.
- Ensure Google My Business and other online listings for all locations are accurate and up-to-date.
- Oversee the distribution of marketing materials (e.g., rack cards and brochures) at key locations to maintain visibility during high-traffic months.
- Manage the utilization of marketing benefits of the Chambers of Commerce and tourism organizations in which the company has memberships.
QUALIFICATIONS & KEY SKILLS
- Experience: 1–2 years of experience in marketing, project coordination, or a related field.
- Technical Skills: Familiarity with tools like Asana, Squarespace, MailChimp, and Adobe Creative Suite (or Canva) is a plus.
- Organizational Skills: Strong attention to detail and the ability to manage multiple tasks and priorities.
- Communication Skills: Excellent written and verbal communication for internal and external correspondence.
- Creative Skills: Basic knowledge of graphic design and website editing.
- Self-Starter: Able to work independently and anticipate team needs.
Compensation & Benefits
- Hourly Rate: $20/hour.
- Schedule: 20 hours per week, with some flexibility for peak season demands (May–October).
