Job Summary The Senior Associate Director of Undergraduate Admissions is part of the senior management team in the Admissions Office and is charged with overseeing and leading one or more broad work areas of the office and the associated programs that support the recruitment, selection, and enrollment of entering undergraduate students at Caltech. The Senior Associate Director of Undergraduate Admissions, Marketing is responsible for developing and implementing the overall prospective student marketing and communication strategy for the Office of Undergraduate Admissions, including digital, website, and print. Additionally, this position will oversee the Visitor Experience of the Undergraduate Admissions Office, which includes oversight of a team that supervises the student ambassadors, the tour and information session, and all non-programmatic visitors to Caltech. The Senior Associate Director will manage the partnership with Carnegie, Caltech’s marketing company that oversees email communications for underclassmen and app generation. Additionally, the Senior Associate Director will prioritize, maintain, continually update, and refine the Caltech undergraduate admissions microsite. Supervision will include multiple staff who oversee the student ambassador program and the visitor experience. Communications and marketing strategic communications through social media is also a burgeoning market for the office. The Senior Associate Director also serves as an Admissions Officer with responsibilities that include representing the Institute both on and off campus, recruiting students, reading applicant files, and participating in the selection of the new class. Finally, the Senior Associate Director will also work closely with the Office of Strategic Communications to ensure consistency of messaging and appropriate branding. This position reports to the Director of Undergraduate Admissions and will sit on the Senior Leadership Team of the Undergraduate Admissions Office. Essential Job Duties Collaborate with the Director of Undergraduate Admissions and other members of the senior leadership team to develop, support, and evaluate strategic enrollment goals and admissions office policies. Responsible for supervising, training, monitoring, coaching, and evaluating direct reports as part of assuring a high performing team in the office. Maintain an efficient, collegial, and proactive work environment within the Admissions office and across the campus. Provide clear direction and oversight of each direct report’s department activities, including budgeting, planning, and staff development, in order to develop and achieve their annual goals. Create and manage multiple communication flows and marketing campaigns for various audiences, primarily prospective first year and transfer/visiting applicants, that drive enrollment goals across the applicant life cycle, from prospect search through student matriculation. Support the Office of Undergraduate Admissions around virtual communications in key recruitment efforts, including visits and events on- and off-campus, decision release, yield, financial aid communication, and student search. Maintain a detailed knowledge of Slate as a CRM and digital marketing tool to support enrollment goals through strategic marketing. Maintain strong analytics through Slate reporting to understand how campaigns are meeting enrollment goals. Collaborate closely with staff across departments to connect print marketing, web, and social media campaigns. Work closely with the Office of Strategic Communications to ensure marketing reflects and communicates the Institute’s brand and adheres to brand standards. Create an enrollment strategy and style guide. Serve on the Senior Leadership Team of the Undergraduate Admissions Office and provide overall strategic direction of the Undergraduate Admissions Department. Develop effective CRM systems and daily communication flows within Slate to support prospective student inquiries and calls, including implementing inbox and text campaigns. Counsel students and conduct presentations about Caltech undergraduate life, admissions, and financial aid policies/procedures to audiences on campus, in high schools, and at large off-campus venues. Build and maintain relationships with high school counselors and alumni in an assigned fixed region, as well as with faculty, staff, and other relevant stakeholders. Thoroughly read, critically evaluate, and recommend appropriate admissions decisions on highly competitive applications. Perform recruiting and admission functions for designated national and international territories, including high school visitations, correspondence, reading admission materials, and rendering an admission decision, attending admission meetings, following up with admitted students, serving as a liaison with high school counselors, etc. Carry out other admissions-related projects as assigned by the Director. Basic Qualifications Education/Licenses/Certificates: Bachelor’s degree is required. A valid driver’s license or equivalent means of reliable transportation to off-site meetings and events. Experience: A minimum of 8 years of increasing leadership and responsibility in admissions and 5 years of leading recruitment systems, preferably in a higher education setting, is required. Ability to deploy professional skills in admissions, enrollment, selections processes, goal setting, in collaboration with colleagues to best promote the Institute’s strategic interests. Ability to successfully work with faculty and other administrative officers where students are concerned. Extensive knowledge of how CRM and enterprise systems work and connect within a higher education context. Advanced knowledge of student information systems and Technolutions Slate. Highly developed writing and proof writing skills. Proven track record of developing and managing all printed and electronic marketing and communication efforts for the Office of Admissions in conjunction with the senior management team. Proven project management and organizational skills with experience balancing multiple projects and deadlines at one time. Ability to translate Caltech’s vision, values, and offerings into communications that enhance Caltech’s reputation and visibility to target audiences. Ability to assess the current communications plan to further develop a comprehensive communications program. Extensive experience in developing effective CRM systems and daily communication flows within Slate to support prospective student inquiries and calls, including implementing inbox and text campaign. Excellent knowledge of communication and marketing best practices. Experience in developing creative and compelling content for use in multiple platforms. Understanding the value of a highly selective STEM institution and the ability to articulate it effectively. Demonstrated self-direction, initiative, and follow-through. Ability to track multiple projects, set priorities and meet deadlines under pressure, with frequently changing priorities. Must have the ability to participate in a fast-paced, creative, and success/deadline driven environment. Knowledge of basic Microsoft office tools including Word, Excel, and Outlook. Preferred Qualifications Master’s degree. Supervisory experience at an academic institution. Knowledge and experience with various social media platforms. Experience working with diverse and underrepresented student populations.
