Overview
This part-time position is responsible for providing administrative and secretarial support to the Parks and Recreation department. Also, responsible assisting the social media specialist by taking photographs and creating graphics for parks programs and events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Performs purchasing duties: processes and approves routine and emergency requisitions and check requests; monitors expenditures for all department accounts; reviews invoices and resolves discrepancies; process payments; maintains log of open purchase orders. This duty is performed daily.
2. Preparation of department payroll; reviews time sheets; maintains overtime and leave records. This duty is performed weekly.
3. Performs receptionist and public relations activities, including answering the telephone, directing inquiries to appropriate persons, and taking and relaying messages. This duty is performed daily.
4. Types memoranda, letters, reports, and other correspondence for the department; drafts correspondence as necessary. This duty is performed daily.
5. Receives and processes all public requests. This duty is performed daily.
6. Makes appointments for administrative staff and confirms meetings for department personnel. This duty is performed daily.
7. Maintains files for all department personnel and assists personnel in completing and filing forms; follows up with administration to reconcile problems with paperwork. This duty is performed daily.
8. Assists the public with general information and serves as liaison between the department and other departments and state agencies to provide information regarding department activities. This duty is performed daily.
9. Performs general office duties, including ordering office supplies, picking up and distributing mail, and maintaining department files. This duty is performed daily.
10. Perform any other related duties as required or assigned.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND EXPERIENCE
Mental alertness and adaptability to office and field area work routines. Equivalent to four years high school or GED, with particular emphasis during high school in office skills, shop skills, or others, plus 12 to 18 months related experience and/or training, or equivalent combination of education and experience.
COMMUNICATION SKILLS
Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide numbers. Ability to perform these mathematical skills using money and other forms of measurement.
CRITICAL THINKING SKILLS
Ability to use common sense understanding in order to carry out detailed written or oral instructions. Ability to deal with problems involving a few known variables in situations of a routine nature.
