Job Summary:
This is a pivotal leadership role within Landmarc Real Estate, Inc., responsible for managing a portfolio of communities in the Lynchburg, VA region while actively supporting business development efforts. The ideal candidate will be an independent, results-driven professional who thrives in a remote work environment yet remains aligned with our organization's policies, processes, and standards. This role is instrumental in fostering growth and ensuring seamless community management operations.
Key Responsibilities:
- Oversee and manage a portfolio of common interest community associations (to include HOAs, POAs, commercial POAs, commercial condominiums, residential condominium associations), ensuring compliance with regulations and company policies
- Serve as the primary point of contact for common interest community association boards, homeowners, and vendors
- Drive business development in the Lynchburg region by identifying growth opportunities and fostering relationships with potential clients in partnership with the President
- Collaborate with internal teams to develop strategic initiatives and improve service offerings
- Monitor financial performance and operational efficiencies within assigned communities
- Assist in the development and implementation of policies and best practices to enhance community management services
- Conduct periodic site visits to assess community needs, resolve issues, and strengthen client relationships
- Provide regular updates and reports to the President on portfolio performance, community satisfaction, and business development efforts
- Oversee day-to-day operation of each association in a portfolio to meet each client’s needs
- Execute decisions of each board in a timely and professional manner
- Returns phone calls and emails in 24 hours as required by company policy
- Prepares and distributes board packets prior to each board meeting as contract dictates
- Attend all board meetings per the board approved schedule
- Prepare and maintain all documents in each association's disclosure package as required by Virginia Property Owners’ Association Act and/or Virginia Condominium Act
- Solicit proposals for jobs or service contracts as directed by the board
- Reviews, code and approve each association’s weekly invoices according to the annual budget. Non-budgeted expenses require board approval
- Provide excellent service to board members, homeowners, residents and all other related parties
- Work with each board to prepare an annual budget in timeframe dictated by the association's documents
- Maintains familiarity with each Community Association's governing documents.
- Keep a working knowledge of the condition of each association managed.
- Provide oversight to all contractors, vendors and projects performed on behalf of the association.
- Perform other duties as assigned
Qualifications & Certifications:
- High School Diploma or GED required; Bachelor’s degree in business administration, real estate or a related field preferred.
- Minimum of 5 years of experience in common interest community association or property management, with a proven track record of leadership.
- Strong knowledge of Virginia Property Owners’ Association Act and Virginia Condominium Act regulations, policies, and best practices.
- Demonstrated ability to work independently and make informed decisions while following company protocols.
- Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships.
- Proficiency in property management software (Vantaca) and Microsoft Office Suite.
- Ability to travel as needed for community visits, corporate office meetings, client meetings, and property inspections.
- Industry certifications strongly preferred , including:
- Certified Manager of Community Associations (CMCA)
- Association Management Specialist (AMS)
- Professional Community Association Manager (PCAM)
- Commitment to Professional Development: The successful candidate should demonstrate alignment with the standards and educational initiatives of the Community Associations Institute (CAI) and actively pursue ongoing professional development in the industry.
Physical & Work Environment Requirements:
- The role involves a combination of office-based administrative tasks and travel to client communities for on-site inspections.
- Must be able to operate standard office equipment, including a computer, phone, and printer.
- Travel may require sitting for extended periods while driving and walking through communities to assess conditions.
