The Coordinator of Visual Arts Programming & Administrative Support plays a vital, team-oriented role in supporting the School of the Arts, the Department of Fine Art and Art History, and both the Torggler Academic Galleries and the Torggler Fine Art Center (Museum) at Christopher Newport University. This dynamic position integrates administrative coordination, event programming, student supervision, and collaborative communication across campus and community partners.
The ideal candidate is highly organized, detail-oriented, proactive, and passionate about the arts in a university setting. Strong interpersonal, communication, and digital skills are essential, as is a commitment to providing excellent service to students, faculty, visiting artists, and the public.
Core Responsibilities:
Administrative Support to Department and School of the Arts
- Provide administrative assistance to the Associate Dean of the School of the Arts and Chair of Fine Art and Art History. Manage departmental/school calendars, academic files, and databases (students, alumni, schedules).
- Coordinate travel arrangements, purchasing, and reimbursements for faculty and staff.
- Maintain communication with students, parents, faculty, and external partners.
- Manage ordering and purchases through eVA.
- Assist with budget tracking.
Visual Arts Programming & Event Support
- Oversight of coordination, installation, logistics, and promotion of academic exhibitions in the Torggler Fine Arts Center.
- Assist in the planning, promotion, and implementation of educational programs and special events for the School of the Arts, Fine Art Department and the Torggler Fine Arts Center Museum (visiting artist talks, receptions, lectures, and special events).
- Serve as liaison between the Torggler (academic + museum) and the Office of Scheduling, Events, and Admissions (EMS, catering, etc.). Manage space reservations and event details across arts venues.
Student Supervision and Internship Coordination
- Recruit, train, schedule, and supervise student workers and interns.
- Serve as the primary contact for gallery interns and student event staff.
- Oversee timekeeping, assign duties, and support student professional development.
Marketing and Communications Support
- Collaborate with faculty and university marketing to promote departmental and gallery programming including recruitment/admission materials.
- Draft and distribute announcements, press releases, and social media content.
- Design simple promotional materials such as flyers and graphics using tools like Canva or Adobe Creative Cloud.
Customer Service and Office Reception
- Serve as the public-facing representative of the department, greeting visitors, students, and guests.
- Provide timely, accurate information in person, by phone, and via email.
- Foster a welcoming and helpful environment for all stakeholders.
Special Projects and Collaborative Support
- Support special initiatives and cross-disciplinary projects led by the School of the Arts.
- Participate in collaborative event planning across academic and museum programs.
