Position OverviewThe Clay & Creative Center Lead Coordinator is responsible for the daily operations, program development, participant engagement, staff oversight, revenue generation, and strategic growth of Red Wing Arts' Clay & Creative Center (CCC). This position directly supervises the Staff Teaching Artist & Studio Manager and Studio Assistant, ensuring that all programs run smoothly, deliverables are met, and the CCC maintains a high standard of service and impact.
The Lead Coordinator is the primary point of contact for participants, instructors, and stakeholders, managing communication, coordinating logistics, and creating a welcoming, inclusive environment. They are responsible for developing curriculum, generating new programming ideas (including private parties, team-building, and Artfully Aging classes), and creating offerings that support both earned revenue goals and grant opportunities.
In collaboration with the Executive Director, the Coordinator contributes to grant development, monitors progress toward budget goals, and will coordinate the Resident Artist Program once it is designed. This role ensures the CCC functions efficiently and sustainably, while advancing its creative vision and community impact.
The ideal candidate is highly organized, entrepreneurial, proactive, creative, and an excellent communicator—able to balance hands-on studio operations with big-picture planning and financial accountability.
Key Responsibilities
Studio Operations & Scheduling (20%)
- Oversee daily operations to ensure the CCC runs smoothly.
- Supervise the Staff Teaching Artist & Studio Manager, ensuring they meet deadlines and operational needs.
- Maintain and update the class and workshop schedule, coordinating with instructors.
- Ensure all operational deliverables (e.g., kiln firings, studio maintenance, and materials prep) are completed.
- Track and manage studio and event scheduling to avoid conflicts and optimize space use.
- Ensure studio policies are followed, maintaining a safe and inclusive space.
Financial Oversight & Program Development (30%)
- Develop curriculum and programming ideas for new classes, workshops, and community engagement initiatives.
- Design and schedule revenue-generating offerings, including private parties and team-building workshops.
- Support and implement grant-funded programs, ensuring alignment with funder goals and successful delivery.
- Coordinate custom and seasonal programming that increases earned income and expands audience engagement.
- Create structured lesson plans and materials for instructors to ensure quality and consistency.
- Identify opportunities for new programs that expand the CCC’s reach and impact.
- Assist in developing programming concepts for grant applications, aligning with funding priorities.
- Collaborate with artists, instructors, and community members to enhance program offerings.
- Recruit and schedule teaching artists to support Red Wing Arts' vision and programming needs.
Participant Communication & Engagement (20%)
- Serve as the primary contact for CCC participants, instructors, and visitors.
- Respond to inquiries via email, phone, and in person, providing timely and helpful information.
- Ensure smooth class registration, payments, and participant tracking.
- Gather and analyze participant feedback to refine programming and improve experiences.
- Foster a welcoming, inclusive environment for all participants and community members.
Staff Oversight & Deliverables Accountability (15%)
- Assign and oversee tasks for the Staff Teaching Artist & Studio Manager and Studio Assistant to ensure efficiency.
- Conduct weekly check-ins with staff to review priorities, ensure deadlines are met, and troubleshoot issues.
- Track teaching, maintenance, and administrative tasks to ensure accountability.
- Ensure all deliverables happen without requiring constant ED involvement.
- Communicate regularly with the Executive Director to report on studio and program status.
Inventory & Facility Management (10%)
- Track and manage studio inventory, coordinating with the Staff Teaching Artist & Studio Manager for supply needs.
- Coordinate supply orders and oversee purchasing needs for the studio; ensure appropriate storage and use.
- Maintain cleanliness, safety, and equipment maintenance in the studio, and a functional organized Center
Growth & Strategic Planning (5%)
- Position the CCC for growth and sustainability by identifying new opportunities and partnerships.
- Help shape long-term planning for programming and community engagement.
- Provide insights and recommendations for the future direction of CCC.
Weekend & Event Support (As Needed)
- Provide Saturday coverage when needed to ensure smooth weekend operations.
- Support special events, exhibitions, and community initiatives related to the CCC.
Qualifications
- Strong organizational and leadership skills with the ability to oversee staff and operations.
- Experience in arts education, curriculum development, studio management, or program coordination.
- Ability to develop and implement new programs while managing day-to-day operations.
- Excellent communication and problem-solving skills.
- Proficiency with scheduling software, spreadsheets, and registration platforms.
- Experience in ceramics, visual arts, or creative studio environments is a plus.
- Ability to work independently while ensuring the team meets its goals.
Work Environment & Physical Demands
- Ability to lift/move up to 40 lbs.
- Comfortable standing, bending, and working in a hands-on studio setting.
