This position is responsible for managing all aspects of the pre-authorization process for in-office sinus procedures, ensuring timely and accurate insurance approvals that support seamless scheduling and positive patient experiences. They are responsible for all aspects of obtaining referrals and authorization for patient care.

Monday- Thursday 8am -5 pm Friday 8am- 12pm

Key Responsibilities Manage end-to-end pre-authorization process for in-office sinus procedures, including initial request submission, follow-up, and documentation of approvals or denials.
Initiate Authorizations through payor portal, call to payor, or paper requisition
Collaborate with insurance companies, provider offices, and surgical schedulers to obtain all necessary documentation for timely authorizations. Monitor voicemail to properly follow-up with patient inquiries in a timely manner. Review demographic and insurance information in patient accounts and make necessary corrections. Follow policies and procedures to contribute to the efficiency of the business office. Track and monitor the status of each authorization to avoid delays in procedure scheduling. Maintain up-to-date knowledge of insurance requirements, medical necessity criteria, and payor-specific authorization processes across multiple states. Proactively communicate with patients and internal teams regarding authorization statuses, anticipated timelines, and next steps. Work closely with the surgical scheduling team to ensure coordination of procedure dates aligns with authorization timelines. Identify and escalate any denied or delayed authorizations for appeal or reconsideration processes. Ensure accurate and timely documentation in the EHR and scheduling systems. Participate in team meetings and contribute to continuous improvement of the authorization process. Maintains productivity and quality performance expectations. Regular attendance is required to carry out the essential functions of the position. Reviews and meets ongoing competency requirements of the role to maintain the skills, knowledge, and abilities to perform, within scope, role specific functions.
Skills, Knowledge and Expertise Knowledge of Commercial, Medicare, Medicaid and VA Insurance guidelines. Experience working with insurance payer sites such as Medicaid, Medicare, VA and private insurance carriers. Excellent mathematical skills, computer skills, Google suite application skills. Excellent verbal and written communication skills. Ability to prioritize and manage multiple workflows and responsibilities. Strong attention to detail and goal oriented. Ability to work in a results-oriented and fast-paced environment, both individually and as part of a team.
Physical demands/requirements •Manual dexterity sufficient to operate a computer/keyboard at (50) wpm, calculator, telephone, copier and fax •Prolonged periods sitting at a desk and working on the computer •Frequent typing and phone calls throughout the day •Requires full range of body motion including handling and lifting up to (10) lbs.
Required education and experience •High School Diploma or higher •Healthcare, hospital, or clinical patient service experience
Preferred education and experience •1+ years of insurance verification and authorization experience in a healthcare setting. •Bilingual English/Spanish •CPT/ICD 10 coding knowledge
Work authorization/security clearance requirements
Must be legally authorized to work in the United States
