Job Summary:
The Community Manager oversees the day-to-day operations and management of homeowner associations (HOAs) within their portfolio. This role involves ensuring the smooth operation of the community, maintaining property values, fostering a sense of community among residents, and ensuring compliance with governing documents and regulations. The ideal candidate will have excellent leadership, organizational, and communication skills and a strong HOA management background.
KEY RESPONSIBILITIES:
Community Operations:
• Oversee the daily operations of multiple HOA communities, ensuring they run smoothly and efficiently.
• Manage maintenance requests, work orders, and community projects.
• Coordinate with vendors and contractors to ensure timely and quality service delivery.
Board Relations:
• Serve as the primary point of contact for HOA board members.
• Prepare for and attend board meetings, providing updates on community operations, finances, and projects.
• Assist the board with decision-making by providing relevant information and recommendations.
Resident Relations:
• Address homeowner inquiries, concerns, and complaints in a timely and professional manner.
• Foster a sense of community by organizing and promoting community events and activities.
• Communicate important information to residents via newsletters, emails, and community websites.
Financial Management:
• Assist in the preparation and management of the community's annual budget.
• Monitor and manage community finances, including collecting assessments and managing delinquencies.
• Provide regular financial reports to the board and ensure transparency in financial matters.
Compliance and Governance:
• Ensure the community complies with governing documents, state laws, and local regulations.
• Conduct regular inspections to ensure compliance with community standards.
• Manage the enforcement of community rules and regulations, issuing violation notices as necessary.
Maintenance and Upkeep:
• Oversee the maintenance of common areas, amenities, and community facilities.
• Develop and implement preventive maintenance programs.
• Coordinate major repairs and capital improvement projects.
Administrative Duties:
• Maintain accurate and up-to-date records, including meeting minutes, contracts, and homeowner information.
• Prepare and distribute meeting agendas, minutes, and other necessary documentation.
• Ensure all administrative tasks are completed efficiently and effectively.
QUALIFICATIONS:
• Education: Bachelor's degree in Business Administration, Property Management, or a related field; advanced degree preferred.
• Experience: Minimum of 3-5 years of experience in HOA management, property management, or a related field.
• Certifications: Certified Manager of Community Associations (CMCA), Association Management Specialist (AMS), or Professional Community Association Manager (PCAM) designation preferred.
Skills:
In-depth knowledge of HOA laws, regulations, and best practices.
Strong leadership and team management skills.
Excellent organizational and time management abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and HOA management software.
Ability to handle multiple tasks and prioritize effectively.
