BASIC FUNCTION:
Manage the production of compelling, effective communications and publications in a number of different formats including web, social media, email, print, flyer, letter, memo, etc. for Claremont McKenna College alumni, parents, faculty, students, staff, and the other Claremont Colleges. Aid in the planning and execution and drive attendance for events and programs. Provide backup for CMC Supply Shop tasks and assist with on-campus sales. Perform a broad range of support functions in the Office of Alumni and Parent Engagement; support the assistant/associate and directors of Alumni and Parent Engagement.
DESCRIPTION OF DUTIES AND RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
- Collaborate with staff to manage office and event communications across various platforms, including Almabase email invitations, social media (Instagram, Facebook, Engage.CMC, TikTok, LinkedIn), printed publications, newsletters, and Class Notes.
- Utilize basic design knowledge to create and maintain regular updates to the visual aspects and content for the office-specific and Regional Chapter webpages.
- Manage the communication schedule for the Office of Alumni and Parent Engagement. Coordinate with staff to schedule, send, and track all communication sent out by either mail or email.
- Collaborate across departments to coordinate Advancement communications and maintain a strategic schedule for consistency and alignment.
- Assist in the preparation of Class Notes for the CMC magazine, including verification of deaths, births, marriage dates, and questionable facts. Assemble and edit notes before sending to Strategic Communications for print.
- Coordinate communication and event details with coaches, staff, and alumni for CMS athletic events involving alumni.
- Provide administrative and staff support for events as assigned, including the creation of all signage and slide shows for events, assisting with setting up and tear down and registration and guest support.
- Perform tasks in support of alumni and parent engagement programs including: sending and receiving correspondence; querying the database to create lists and other files; etc.
- Support the Assistant Directors with order fulfilment, inventory and customer correspondence for the CMC Supply Shop. Assist with set up and tear down and store staffing during on campus sales.
- Work in a collaborative, flexible, and team focused manner.
- Demonstrate professionalism and poise in responding to the public and various internal constituencies, including trustees, donors, faculty members, students, and staff.
- Cross-train on other administrative functions in order to knowledgeably field questions and perform tasks in colleagues' absence or in support of colleagues as needed.
- Perform other essential duties and tasks specific to the position and other duties as assigned.
QUALIFICATION STANDARDS & SKILLS:
EDUCATION: High school diploma, GED or equivalent combination of education and experience is required.
EXPERIENCE: 3-4 years of additional education and training, or any combination of education, training or experience that provides the required knowledge, skills and ability. Knowledge of selective, private higher education external relations activities is preferred.
REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of knowledge skills and abilities.
- A high level of proficiency in Word, Excel, Outlook and other Microsoft Office software, plus ability to learn and adapt to new software.
- Basic knowledge of Almabase.
- Ability to utilize software-and to work with outside designers when needed-to create effective, attractive communications for a variety of purposes, with graphics where appropriate.
- Requires exceptional professional writing, editing, and analytical skills. Must possess strong verbal skills.
- Requires superior organizational skills, an ability to work independently with minimal direction. Must be detail-oriented.
- Flexibility and ability to juggle competing priorities and support numerous initiatives and professional staff members.
- Requires excellent goal-oriented management skills. Must have ability to work collaboratively and professionally with student employees and volunteers.
- Requires strong interpersonal skills and an ability to interface professionally with alumni, parents, administration, faculty, and students. Must have ability to work effectively with volunteers, the donor community, with the academic community, and with colleagues.
- Experience with database functions and queries, particularly with Blackbaud's Raiser's Edge.
- Proficiency in the use of email software and the ability to manipulate attachments.
- Collaborative spirit and service-oriented attitude.
REQUIRED HOURS: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday. Regular hours may vary due to the needs of the College. Weekend and evening work hours may be required. This position may require some local travel.

PHYSICAL REQUIREMENTS: This position may require the ability to lift materials and supplies for events, such as floral arrangements, chairs, podium, etc., up to 50 pounds.
APPROXIMATE PAY RANGE: $24.00 - $26.00 per hour.

BACKGROUND CHECK: The successful candidate will be required to undergo a full consumer background check.
