Job Description
The Archivist oversees all operations of the Bok Tower Gardens archives housed in the Chao Research Center (CRC) as well as the Anton Brees Carillon Library (ABCL). The ABCL houses materials related to the carillon art and the professionals that play them, including books and serials, a large collection of musical scores and a/v recordings, vertical files, personal collections of prominent carillons, and the archives of the Guild of Carillonneurs in North America (GCNA). The CRC houses the historical records of Bok Tower Gardens, including collections from Edward W. Bok, about the planning and construction of the Gardens and Singing Tower, El Retiro, the continuing work the Foundation, and more. Material types in both the library and archives include books, journals, musical scores, audio and video recordings in various formats, photographs, slides, and photographic negatives, correspondence, manuscripts, blueprints, scrapbooks, ephemera, etc. Most of the texts are in English, Dutch, and French.
The ABCL and CRC are open to the public by appointment only and are non-lending.
The main tenants of the position are the preservation of the collections of the Archives of Bok Tower Gardens and Anton Brees Carillon Library. The Archivist is responsible for preserving these important materials and increasing their accessibility - primarily digitally but also through various other methods, including written articles, exhibits, and other displays. The Archivist responds to external inquiries and works closely internally with the Carillonneur, education and marketing departments, and members of the GCNA. Processing, arranging, rehousing, and digitizing collections. Cataloging materials and creating finding aids. Use of library, archives, and museum software systems: Mandarin Library Catalog, CONTENTdm, and PastPerfect. Grant research and grant writing. Manage volunteers and interns.
ESSENTIAL DUTIES:
· Facilitate the proper storage and handling of all materials including but not limited to storm preparation and collection care
· Implement plan to weed the archive and library collections
· Collection processing
· Manage in-kind donations to the library & archives
· Maintain the automated library system
· Manage digitization and digital archiving in CONTENTdm
· Facilitate research inquiries
· Develop outreach content for marketing.
· Ability to multitask and work independently
Requirements:EDUCATION AND EXPERIENCE:
· Bachelor’s degree required; Master of Library Science degree from an ALA-accredited graduate school preferred
· Minimum of 3 - 5 years’ experience in an archive and/or library, with experience in a special collection library or academic research library preferred
· Knowledge of and/or experience with: evaluating and selecting rare books and manuscripts, processing collections, care of historical materials, digital initiatives and preservation
· Experience in grant writing
· Archives management
· Ability to independently manage, organize and track progress against annual activities
· Must demonstrate a strong commitment to delivering quality service
· Consistent accuracy and attention to detail while maintaining a high level of productivity
PREFERRED:
· Basic knowledge of music
· Knowledge of CONTENTdm and PastPerfect
· Special collections experience in an academic or special library setting
WORKING CONDITIONS:
· Ability to climb stairs, bend and reach for filing, and lift up to 40 lbs.
