Position Overview:The PBS Creative Voices Initiative supports filmmakers and content creators whose backgrounds and experiences have been historically underrepresented in media - be it because of their race, ethnicity, religion, age, gender identity, veteran status, sexual orientation, disability, geographic region where they are from, socioeconomic status or other dimensions of identity - to uplift the power of our collective stories in public media. The Initiative includes the Accelerator Fellowship & Ignite filmmaker programs.
As a part of these ongoing efforts, PBS is seeking a full-time experienced coordinator with a minimum of 3 years of experience to assist with the planning and coordination of these programs.
Reporting to the Program Manager, this role will be responsible for operational support from the candidate selection process through program completion, including a wide variety of program activities, file management, financial processing, and event coordination.
Essential Duties will include, but are not limited to:Application submission processAssist with the compilation, distribution, collection and organization of applications, resumes, and other supporting documents, for review.
Navigate internal requisition tracking system
Review and assess applications for minimal qualification requirements
Schedule interviews with candidates
File ManagementDownload, transfer organize documents for detailed review
Assure precise record keeping and accurate data management
Compile data and create reports
EventsHelp organize both in-person and virtual events
Coordinate travel for in-person gatherings (up to six travel events during term)
Arrange facilities, catering, lodging and other event related bookings
Attend meetings and events, providing support
Financial ProcessingVerify the receipt of goods and services in accordance with contracted amounts
Process and track payments to vendors by coding invoices with applicable general ledger information to properly deduct funds from the allocated budget areas
Prepare and process expense reports
Create and process approval payment memos
Work with vendors and Accounts Payable on payment issues
Program CommunicationsCompiling and distributing information on and for participants, including updates, opportunities, reports and announcements.
Regularly monitor program communications, ensuring timely responses and efficient information flow
MiscPreparing presentation materials
Write project summaries
Flexibility to travel to related events
Evening hours required, approximately 3 nights per month
Other duties as assigned
Requirements for success:3+ years' experience with program coordination and collaboration
Candidates should possess advanced skills in MS Office (Word, Excel), Adobe Acrobat Pro (Edit, Combine, Organize files), Excel (spreadsheets)
Experience in the film or television industry
Ability to communicate effectively both orally and in writing.
Ability to work in a fast-paced environment with minimal supervision.
Must be organized, possess time management skills, be detailed oriented
