Position Summary
Foundation Software, a rapidly growing, nationally recognized developer of construction software and services, is looking for a take-charge professional to be a part of our event team as a full-time event planner! This position will report to our Event Planning Manager.
We'd like you to help us take our events and conferences to the next level. This includes our user conference (1000+ attendees), an annual CPA conference, live and virtual educational conferences, industry tradeshows, and various other events! The ideal candidate will be able to anticipate project needs, discern work priorities, work with stakeholders across departments, and meet deadlines with little supervision. Additionally, they will be able to control an event from conception to clean-up and handle all facets in between. Tasks would include location selection, contract negotiation, menu coordination, entertainment, marketing, budgeting, audio/visual coordination, staffing plans, registration, event management, and post-event billing, surveying and analytics.
Event Planning & Production
- Assist our Event Planning Manager with contract negotiations, vendor coordination, agenda creation, food and beverage selection, audiovisual support, travel arrangements, and all event logistics
- Conduct research, complete site visits and identify resources to design successful events
- Assist with preparing budgets, providing progress reports, tracking event finances, reviewing invoices, submitting check requests, and generating reports
- Build event registration processes, email campaigns, and marketing efforts
- Manage all pre-, during- and post-event project tasks, including but not limited to:
- Registration oversight, room layouts, BEOs, service agreements, printed materials, gifting, supply order, packing, shipping and staff coordination
- Propose ideas to find efficiencies in the event planning process and improve future events
- Coordinate with Foundation Software's leadership, education, client success, marketing and sales teams
- Serve as liaison with external vendors and partners on event-related matters
- Communicate regularly with clients and product users
- Manage administration of the Cvent event software platform
Tradeshow Administration
- Manage tradeshow schedule with up to 60 events annually featuring multiple brands
- Determine booth location, booth design, layout, marketing materials, staffing plans, and travel logistics per show
- Communicate with show hosts and stakeholders
- Coordinate with exhibit house and EAC's as well as show vendors and venue
- Create and manage tradeshow budgets, track event finances, and conduct post-event invoicing
- Build strategic marketing plans to reach prospective clients for each location, product promoted, and trade served
- Place orders for booth utilities and supplies
- Arrange for insurance and liability coverage
- Manage lead collection processes, conduct post-show evaluation process, and work with Event Planning Manager to determine ROI
Qualifications
- Excellent written and verbal communication skills
- Highly professional interpersonal skills, both in person and virtually
- Collaborative and customer service-oriented work ethic
- Self-starter with ability to work independently
- Experience with contract terminology and negotiations
- Sharp budgeting skills
- Solid skillset in project management
- Savvy in the virtual meeting arena
- Ability to manage multiple projects concurrently and from a variety of stakeholders
- Marketing knowledge to build pre- and post-event registration campaigns (email, direct mail, social, web, etc.)
- Bachelor's degree or higher preferred (significant event planning experience may be considered in place of degree)
- At least two years of experience coordinating special events or conferences - both live and virtual
- Proficiency with Microsoft® Outlook (email and calendar management), Teams, and the latest versions of Word, Excel, PowerPoint
- Experience with the following software tools is preferred but not required: Cvent, GoToWebinar, ASANA, Pardot
- Willingness and ability to travel (position will require up to 20%)
- Ability to lift up to 50 pounds and spend majority of day moving and on your feet
