About the Team

Our Project Management team is the engine that keeps us moving forward. It is a department that touches almost everything and everyone in the agency. Norton Agency's Project Managers are critical in facilitating all the deliverables and timelines at our independent and agile marketing agency. This group serves as the glue between all departments of the agency, ensuring that work gets done efficiently and smoothly.

Who You Are

You are a project management expert known for your ability to take things from start to finish; closing the loop on things is your superpower; and, timelines and completing to-do lists not-so-secretly make you happy. You excel in negotiating and managing project timelines and budgets, efficiently deploying resources, and establishing effective workflow processes. You are comfortable with figuring out things as you go and managing several different jobs at once.

What You Will Love About the Job

The Project Manager is the subject matter expert for delivery processes and project management office (PMO) standards. This person serves as the agency advocate focusing on the "how and when" and works in close partnership with the Account Executive, who serves as the client advocate and focuses on the "why and what." The Project Manager manages day-to-day internal communications regarding work in progress and ensures effective and efficient management of project timelines and budgets, while prioritizing driving projects through to completion.

Responsibilities• Lead project plan development for clients• Ensure the timely delivery of client projects while driving efficient use of resources across the agency.• Manage multiple projects simultaneously from inception to completion, ensuring that they run on time, on budget, and as smoothly as possible. Projects will range from one-off tactics all the way to multi-faceted campaigns over 6+ months.• Work with Account Services to develop project timelines and estimates to align with client deliverables within the agency's overarching schedule and staffing constraints.• Collaborate with agency peers• Build strong relationships to partner with Account Service, Strategy, Creative, Production, and Finance to ensure a deep understanding of each team's skills and team members.• Lead the project timelines, time allocation across projects, and ensure that each team member has what they need to execute the project.• Lead kickoffs and facilitate IR meetings, recording and sharing notes whenever necessary.

Stay abreast of relevant day-to-day project communication and report on any issues impacting campaign/project schedules, budgets, or deliverables.• Keep Account Services team informed of issues or delays that may impact project deliverables; provide timely updates on project schedules or budgets with proactive recommendations on how to advance/improve.• Ensure financial health of client projects• Create and deliver project estimates, contribute to monthly billing activities, and apprise project stakeholders of detailed project information: burn against plan hours and funding limits, health, risks, and mitigation plans.• Agency Resourcing• Identify risk, build, and execute mitigation plans and deliver impact assessments.• Monitor and report on resource constraints to Project Management Team, Creative Directors, and Account Services Team.• Provide internal resourcing for assigned departments; work with department leads and project managers to ensure stable and consistent workflow.• Technical Deliverables• Create timelines for clients detailing major project milestone dates.• Build out task lists for team members detailing the necessary actions for a project from start to finish.• Employ agency systems including Workamajig and other agency tools; continually monitor and make recommendations to improve departmental or agency processes to increase agency/team output and efficiency.

What are we looking for?• Bachelor's degree in Project Management, Marketing, or comparable field or equivalent education plus professional experience required• 4-6 years of relevant experience at a creative agency• Experience with project management software is required, Workamajig preferred• Ability to be proactive and thrive in the fast-paced environment of a rapidly growing creative agency• Proven record of success in maintaining strong relationships and working collaboratively and effectively with team members in multiple departments; proven ability to manage ahead and bring others along• Skilled in developing work breakdown structures, creating timelines, and driving successful execution of projects on-schedule• Skilled in collaborating to create project estimates aligned with proposed scopes of work• Ability to maintain diplomacy and productivity in a fast-paced work environment• Strong communication skills• Exceptional attention to detail, organization, multi-tasking and time management skills• Ability to quickly identify efficiency problems and solve them• Self-motivated, proactive, and entrepreneurial; demonstrated ability to work independently; figure-it-out mentality• Ability to collaborate and come up with strong solutions when scope, timing, or budget is an issue• Ability to proactively recognize and plan for potential scheduling and bandwidth conflicts• Ability to clearly communicate and quickly address, manage, and resolve conflicts• Understanding of agency deliverables and what is needed to complete them
