Position Summary

JOB SUMMARY:This position supports the Public Relations and Marketing Department's administrative and operational tasks. The ideal candidate will be highly organized, detail-oriented and have excellent communication skills.Essential Duties and Responsibilities

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

Effective oral and written communication skills.Ability to keyboard at a minimum of 40 correct (net) words per minute for 3 minutes.Knowledge of word processing and spreadsheet software (Computer Level I).Working knowledge of general office procedures, GSCC procedures, composition, and records management (Office Procedures Level I Exam).Knowledge of principles and procedures for personnel classifications and compensation, employee relations, and personnel information.Excellent interpersonal and time management skills.Attention to detail and accuracy of work; ability to multi-task and handle various situations in a professional manner; establish priorities and use critical thinking skills.Ability to work with minimum supervision.Ability to exercise judgment and discretion in interpreting and applying policies and procedures.Ability to establish and maintain effective contacts with students, other employees, and the public.

DUTIES:

Serve as the administrative assistant for the Director and other staff members of the Public Relations & Marketing Department.Conduct daily internet/media search for information related to the College, ACCS, education and community colleges.Prepare media reports for distribution to department staff and members of the administrative cabinet/staff utilizing a media monitoring platform.Maintain News Release Tracking Strategy, consisting of the News Info Monthly Report, News Release Tracking and Diversity Analysis Report (information used to evaluate a portion of USP for the PR Department).Write, edit, format and transmit media briefs, PSAs and press releases.Provide supervision for work-study students.Assist various college departments/programs with the dispensation of grant funds for advertising and promotional purchases.Assist with planning special events.Perform all clerical and office management duties.Responsible for budget management and billing procedures for the Public Relations and Marketing Department (handles billing procedures, enters requisitions and processes invoices).Check expense accounts, arrange for reimbursement of transportation or accommodations for staff and maintain leave records for department personnel.Utilize project management software to streamline workflow and focus on core tasks to successfully meet the needs and provide the services requested by the administration, faculty, staff, media, students and the public. Assign tasks, track projects and assess workflow processes through the project monitoring system. Services tracked include but are not limited to website changes, the ordering of promotional items, press releases, flyers, marketing campaigns, specialty print, photography and videography.Coordinate limited media buys with local print publications, radio stations, TV stations, etc.Standard work hours, with some flexibility needed for project deadlines and events.Occasional photography and videography assignments.Other duties as assigned.

Qualifications

QUALIFICATIONS:

One (1) year (32 hours) of postsecondary education with a minimum of 15 semester hours in business, office-related coursework, or a related area required.Two (2) years of experience in office or related secretarial work required.Pleasing personality, enthusiastic, positive attitude, evidence of trustworthiness and ethical conduct, effective human relations skills, professionalism as evidence by membership in professional organizations and participation in workshops, seminars, etc. to keep abreast of new office technology.
