Description
Our marketing team is growing, and we are seeking an energetic, self-starter to join our group as a Sales & Marketing Administrator (SMA.) Reporting to IOR's Director of Global Client Solutions, the SMA will work closely with the Global Client Solutions team (Sales) and IOR's Directors of Destination Services, Language Solutions, and Global Talent Development. The SMA will play a key role in supporting all internal and external sales and marketing activities across the IOR organization to maintain thought leadership and value-added content for our marketing materials. This is a part-time, hybrid position in our Rosemont, IL office.

Job Responsibilities
Sales and Client Solutions Support

  • Provide certain administrative support for sales and marketing functions including but not limited to: tracking Web Inquiries and prospective client leads; Manage client facing mailing lists gathered from Constant Contact and external (email requests) tools; timely management of a clean email database
  • Participate in weekly sales marketing meetings and provide the team with meeting notes; manage team calendar
  • Provide data reports to upper management and business development as needed (i.e. aid with collection of data from contractors, testimonial tracker, and quality data.)
  • Support Marketing with conference logistics, registrations/renewals, flights, and hotels in conjunction with the IOR Office Manager
  • Maintain tracking for testimonials and IOR's internal "Sales & Marketing Star Award"
Business Unit Research and Content Development
  • Being the point person in the office for all editing/proofreading of content including but not limited to the following: presentations, collateral, Business Unit manuals, job descriptions, trainer bios, mailings, award submissions, company announcements (news speaking engagements/conference attendance/webinars, community involvement, awards, new hires, etc.)
  • Background Support for Destination Services Consultants (Mock Tours, VIP Agendas, Consultant Specific Materials)
  • Maintain database of internal materials to ensure they are aligned with IOR's branding guidelines
  • Support with other projects depending on department and/or client needs
B2B Marketing and Client Prospecting
  • High-level website updates and SEO tweaks via WordPress
  • Increase Brand Awareness via Constant Contact Management for internal and external communications: Implement and monitor IOR's email marketing program to client and prospect list.
  • Social Media Champion: provide strategies for increasing IOR's presence and followers on social media including LinkedIn, Instagram, Twitter, and Facebook; research and stay informed on other social media platforms that could benefit IOR. Support with IOR's Facebook page/Consultant Facebook page
  • In conjunction with the Sales & Marketing team, Promote IOR speaking engagements and panel participation, coordinate and manage IOR-sponsored events and parties
  • Suggest and coordinate promotional items for conferences and office "Swag"; maintain inventory
  • Assist Sales & Marketing team with support in the planning, marketing, and implementation of webinar events for the marketing and BU teams. Maximize exposure and attendance through mailings and social media.
Professional background
General
  • Tech-Savvy: Strong technical skills with proficiency in Office 365 (including Outlook, Word, Excel, PowerPoint, teams, MS Publisher) Adobe, Photoshop, Constant Contact, and willingness to learn! Other software applications: (Google Analytics, website content management system, Visme)
  • Team player who can interact professionally and collaborate with internal teams
  • Strong oral and written communication skills with a Positive attitude, enthusiasm, and energy
  • Anticipation of department needs; Organized, detail-oriented, and thorough; ability to prioritize support multiple efforts needed for various projects
Education
  • 1-2 years marketing/industry experience and/or 1-2 years admin or office experience preferred
  • HS Degree, liberal arts, marketing communications, or related background preferred
  • Industry experience, or international study/work abroad experience preferred, Multilingual a plus
  • Job training will be provided

Salary Description

$25-28 per hour based on experience (25 hours)
