This position provides administrative support and assists department staff with clerical and marketing functions. Coordinates travel arrangements and acts as a liaison. Collaborates with various departments in directing calls, performs billing functions, and assists with coordination and implementation of events. This position works collaboratively with department staff and maintains a working knowledge of the Explore St. Louis organization, its brand and community Partners. Essential duties of this job include the following:

Provide administrative assistance for the Chief Marketing Officer and department staff to include: typing correspondence and reports, copying/scanning/faxing, and entering data (including CRM software).Manage the Marketing department filing system.Schedule and coordinate meetings, schedule appointments, and maintain the calendar for the Chief Marketing Oficer. Attend various meetings as required.Schedule travel arrangements for Chief Marketing Officer and members of the Marketing Department as needed. Maintain the department calendar.Perform department billing functions to include processing invoices and purchase orders. Troubleshoot billing discrepancies.Provide support to the Visitor & Volunteer Services team. Assist with operation logistics of various eents to include connecting reservations, generating lists, supporting registration functions, processing purchase orders and invoices. Office support to include updating information on volunteer database, processing volunteer mailings, fulling ESL volunteer and staff uniform mailings, and Visitor Center / consumer brochure ordes.Provide administrative support to other departments and work collaboratively with team members as needed.Perform miscellaneous tasks as assigned.Work a flexible schedule as necessary to include evenings, weekends and holidays.
