TERMS OF EMPLOYMENT

Requires flexible work schedule to meet program needs, which may include working days, evenings and/or weekends.

The Administrative Assistant, Marketing is a central point of contact for the Marketing team, ensuring smooth operations within the department. Responsible for trafficking of job requests, department copier maintenance, paper and printing inventory as well as service and billing information. This position performs administrative duties, bookkeeping, general clerical support for the Director and staff members of the Marketing department and as such requires a very high level of multi-tasking ability.

ESSENTIAL DUTIES AND RESPONSIBILITIESAssists Director with budget records and keeps accurate account balances for all Marketing Department budgetsResponsible for processing of purchase orders, invoices, and monthly billingHandles mail, prepares correspondence, and other general communicationsProvides records management and maintains department file archivesResponsible for traffic management of all marketing and graphics services requests using project management softwareHandles walk-in requests and phone calls for all departmental servicesAssists with drop off and pick up of Copy/Print jobs as neededOrders paper and office supplies and keeps track of inventory for Print Shop and GraphicsAssists Print Specialist with service calls and maintenance of Marketing and Copy Center print/copy machinesServes as a backup as needed in the Copy Center to assist with printing, binding, etc.Responsible for assisting with graphic design jobs including proofing, printing as needed, scanning of files and images, and lamination as neededCoordinates the recycling of printer paper and ink/toner cartridgesAssist as needed for campus event planning, setup and tear downOther general tasks as assigned by the Director of MarketingWORK ENVIRONMENT

The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the work day.

PHYSICAL DEMANDS

The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to twenty (20) pounds.
