Assists the Demand Generation team and Marketing Department with administrative and technical tasks related to events and conferences, marketing campaigns, and customer retention programs.ESSENTIAL DUTIES AND RESPONSIBILITIES

- Supports the marketing team with project management of events and special projects. Keeps Vernier’s conference project management system, Basecamp, up to date with timelines, tasks, milestone dates, and assigns tasks to the appropriate team member. Uses project templates in Wrike for email marketing and design projects related to events. Schedules team/group meetings, coordinates events communications with team members, and takes notes during meetings as needed.Event Coordination

- Support Demand Generation Manager in the execution of event plans to successfully meet deadlines and event goals. Ensure deadlines and deliverable requirements are met for the following:Complete and submit forms to register for booth space and vendor workshops for conferences.Place orders for the booth and workshop room(s) as needed for furnishings, electricity, lead retrieval, and labor.Register staff for exhibitor badges.Work with marketing leadership, serving as a logistics contact for non-vendor workshop presenters; monitors call-for-proposal dates, ensures approved presenters have loaner equipment, and workshop details are accounted for, etc.Reserve hotel rooms for staff using conference links or submit a block room request form with rooming list to the housing bureau. Communicate reservation details to staff.Assist in organizing, preparing, and packing marketing materials for all events.Clean new lead lists and prepare them for HubSpot upload, create tickets in Zendesk for follow-up as needed, and provide leads to the Business Office.Coordinate and schedule inbound and outbound ship dates for conferences. Communicate ship dates, warehouse and direct show site deadlines and addresses, and pack lists to the Operations team. Complete a Material Handling form and submit to show decorator.Support Demand Generation Manager to create and update conference resource guides to support clear communications to show staff about conference logistics, strategy, and goals. Schedule kick-off and recap meetings with staff and marketing leadership.Coordinate and manage the details to set up booth displays at in-person conferences.Travel and represent Vernier at multiple conferences throughout the year.Support maintenance of an annual calendar of events.General Marketing Team Support -

Support marketing team in building and updating new and existing product pages in Wordpress template tools. Support marketing team in content updates and simple page builds on the company website by utilizing Elementor and Wordpress template tools. Other duties as assigned.REQUIRED SKILLS/ABILITIES:Attention to detail, both written and verbal.Excellent time management, organization, prioritization, and follow-through skills.Ability to manage deadlines and production scheduling on numerous concurrent projects.Proficient with Microsoft Word, Excel, Google Docs, Google Sheets, and Google Mail and Calendar system.Ability to learn and adapt to changing digital tools, including project management software and conference technology.Effective at working in a team environment. Shares information with others, listens, and responds appropriately.Respectfully takes direction from supervisors and managers.Works collaboratively in a team environment with a spirit of cooperation and is also able to work independently.Highly skilled at working under pressure, with interruptions, to meet established deadlines.Able to build and maintain good relationships with customers, the marketing team, and internal partners.Must have a valid Oregon driver's license and acceptable driving history.Ability to travel for conferences and workshops.Maintain regular and punctual attendance in accordance with scheduled work hours.Works under immediate supervision. A Bachelor’s degree in Marketing or related field preferred, and 0-2 years of experience in marketing; or an equivalent combination of education and experience.LANGUAGE SKILLS

Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.MATHEMATICAL SKILLS
