Position Summary
Responsible for performing comprehensive administrative support services for the office staff as well as facilitating the daily operations of the marketing office.
Primary Responsibilities
The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive. Other duties may be required and assigned.Greet visitors and answer and direct telephone calls in a pleasant and professional mannerProvides telephone support to support the sales effort when neededType, collate and distribute all correspondence and other materials deemed appropriate by sales staffAdministrative duties to include the following: prepare and distribute reports and mailings; maintain filesOperate and administer CRM (Lead & Prospect Tracking System)Distribute mailings to individuals on the Priority Program, CRM or mailing listsManages assembly of marketing packets proactivelyOrganize, coordinate and assist in planning of special events, including weekend eventsOrder office supplies, postage, petty cash and other supply inventoryComputer proficiency, help desk experience a plusSocial media and website updatesSafeguards the confidentiality of resident and departmental informationOther duties as assigned by SupervisorQualifications

Education and Experience Required
High school diploma or equivalentTwo to three years experience as Administrative Assistant involving customer serviceKnowledge, Skills, and Abilities Required
Language Ability:
Effective communication with all levels in a professional manner.Excellent oral and written communication and presentation skills
Mathematical Skills:
Ability to perform mathematical functions using a calculator or Excel Spreadsheet
Cognitive Demands:
Must be self-starter, attentive to detail and possess excellent organizational skillsPositive attitude and approach to change and improvements
Computer Skills:
Proficient in Microsoft Office (Word, Excel and PowerPoint),Database administration a plusAbility to quickly learn and utilize current CRM
Competencies:
Exceptional telephone, secretarial and customer service skillsDetail oriented and excellent organizational and follow-through skillsAbility to follow directions
Work Environment
Works primarily indoors in a climate-controlled settingPossible exposure to unpleasant odorsPossible exposure to chemicals as identified in the MSDS Manual
