The Aspen Aerogels marketing team is responsible for bringing the company’s innovative solutions and journey to life for our customers, partners, and investors. The Marketing & Events Specialist will work directly with members of the Marketing & Business Development departments to identify, plan for, and execute external and internal events globally. The role actively communicates with cross-functional stakeholders to ensure the impeccable execution of events. The ideal candidate will have outstanding communication skills, high organization and prioritization capabilities, and a dedication to maximizing the return from events through close management and ownership. The role is responsible for driving the event ecosystem, involving other marketing functions including Product Marketing, Regional Marketing, and Digital Marketing, to deliver company engagements to the highest standard. Responsibilities include the development of messaging & event experience, coordination of logistics, presentations and collateral materials development and support, and pre- and post-event meetings. This role is accountable for budgeting, marketing purchase order creation, procuring and coordinating vendor services, facility/exhibit set-up, equipment and catering requirements, and on-site event support.

DUTIES AND RESPONSIBILITES:

Work with Product Marketing, Regional Marketing, and Digital Marketing to create and deliver event ecosystem, including show messaging, booth design, pre-show campaigns, and interactive demonstrations to drive brand and product awareness

Hold kickoff, preview, and debrief meetings for all events, communicating responsibilities and goals of event

Manage on-site support including staff, vendor, show personnel, and logistics

Conduct after action reports for each event, produce key metric report to track event effectiveness

Oversee inventory, literature, sales tools, and customization of demonstrations to support high levels of customer engagement

Facilitate development and coordination of necessary marketing collateral

Manage fulfilment of items to support events and commercial teams

Manage coordination and logistics of internal events such as company town halls and global sales meetings

Develop and maintain annual events budget

Manage initial contract review, create purchase orders, track costs, and report actuals for events

Optimize existing and identify new event partners as necessary

Maintain events calendar on Aspen Aerogels intranet

Conduct regular meetings with internal and external stakeholders to facilitate annual events calendar

Performs other related duties as assigned by management

QUALIFICATIONS:

A minimum of a Bachelor's Degree (BA) in Marketing, Marketing Communications, or equivalent business discipline is required.

Minimum 5 years’ experience in global marketing, tradeshow and events coordination.

Technical industry (i.e. automotive, energy, battery sciences) experience preferred.

Strong business acumen along with distinct interest to gain knowledge about the customer, competition, and issues impacting our business, coupled with the ability to use this information to shape marketing and event messaging.

Strong oral and written communication skills; ability to create content supporting social media, emails, brochures, promotional materials, invitations, presentations, and other projects as needed.

Willingness to travel up to 50% of the time during peak tradeshow season, both domestic and international destinations, to provide on-site support.

Proficient in Microsoft Office, Adobe Creative Cloud skills bonus.

Occasionally required to climb, balance, bend, stoop, kneel or crawl.

While performing the duties of this job, the noise level in the work environment is usually quiet.

The employee must occasionally lift and/or move more than 20 pounds / frequently lift and/or move up to 10 pounds / continually lift and/or move up to 5 pounds.
