Sales & Marketing AdministratorJob DescriptionFrom the Miami Office, the Sales & Marketing Administrator will provide organizational support to the Sales and Marketing Department. In this role, the Sales & Marketing administrator receives and processes sales support requests online, or via phone and email. The duties include assisting with travel trade and press trips, theme cruise sailings, maintaining sales records, and compiling monthly sales reports. Additionally, this role includes tracking orders, processing paperwork, maintaining the customer database, and ensuring products or services are delivered on time and within budget. This is an in-office position located in west Miami.

RESPONSIBILITIES:

Support sales team and VP Sales & Marketing with coordinating events, setting up venues, taking RSVP's, ordering brochures and other collateral, managing budget.Prepare charter and large group quotes as assigned by the VP of Sales & Marketing and the Group & Charter department.Handle press trip bookings, including coordinating air requests, collecting credentials, creating the checklist for the ship, and issuing e-documents for journalists and PR team.Manage FAM trip bookings, communicating with Travel Advisors & Sales team, collecting funds, creating checklist for ship, and issuing e-documents.Handle individual travel advisor reduced rate bookings requests, bookings for theme lecturers and hosts, collecting funds and issuing e-documents, and creating checklists for ship.Manage Theme cruises and coordinate with Monaco HQ to distribute and share information to be sent to the internal teams and the ship.Manage brochure inventory, distribution and organize deliveries. Assist with production of new brochures and collateral.Review and process initial expense reports submitted by sales team in a timely manner.Create monthly and quarterly reports for Consortia, process override payments and fees on time.Assist with collecting necessary information and entering new customers/accounts in our databases.Handling office supply requests, monitoring packages in and out of office, and other duties as assigned.

QUALIFICATONS:

3-5 years of experience working in a fast-paced office environment, preferably in the travel industryExcellent verbal and written communication skills.Knowledge of or basic level experience with Word, Excel, and other Microsoft Office productsAbility to work in a team environment and independently.Multi-tasker and extremely detail-oriented with solid organization skills.Associate or bachelor's degree in business or communications preferred but not required
