The Department of Art and Art History is the administrative umbrella for two distinct major programs: art studio and art history. Majors within the department can be pursued in either or both areas.This position will report to the Chair of the Department of Art and Art History. The administrative assistant is responsible for providing administrative support for the department chair (which rotates every three years from one program to the other) and support for the Art History Program.Responsibilities include:+ Assist with the preparation of reports and proposals; write correspondence and memorandums; create flyers, brochures, newsletters, etc.+ Provide support for faculty searches, tenure and promotion cases, colloquia, and special projects as needed.+ Perform a variety of administrative and secretarial services including maintaining databases and generating reports and mailing lists, maintaining calendars and organizing meetings, managing office correspondence and procedures, and greeting and working with students, faculty, visitors, and other constituencies.+ Maintain confidential files for faculty, department, and programs.+ Manage/reconcile departmental budgets; process payroll, A/P vouchers, travel reimbursements, and other financial transactions.+ Coordinate the logistics for all department and program events (e.g., speakers and lecture series) to include scheduling, publicity, room reservations, travel, and catering arrangements.+ Assist in compiling course offerings using the Curriculum Development System; liaison with departmental staff to manage cross-listings and edit material for course catalog and university publications.+ Assign advisors to student majors, and update and maintain confidential student records.+ Work closely with student majors committee to assist organizing activities, events, and field trips.+ Update and maintain website and student blog.+ May oversee student workers.+ Perform other duties as assigned.This is an on-campus position.This position is in the secretarial/clerical bargaining union. This position works 35hrs during the academic year and a reduced schedule in the summer for a total of 1510 hours per year.Minimum qualifications:Associate degree and two years related experience or an equivalent combination of education, training and experience.Ability to set priorities, take initiative, manage multiple duties with minimal supervision, and attention to detail.Strong organizational skills.Effective communication skills.Demonstrated expertise in MS Word, Excel, and email applications.Previous experience with webpage management.Experience coordinating small- and large-scale events.Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.Preferred qualifications:Previous experience in an academic setting.Previous budget management experience.Previous Workday Experience.Additional Application Instructions:Position is open until filled.
