Position Summary:

The Creative Operations Coordinator plays a critical role in ensuring the smooth execution of photo and video shoots by managing and organizing the flow of necessary inventory samples, tracking and updating databases with accurate information, and supporting logistics for photographers, videographers, and talent. Reporting to the Creative Operations Manager, this position is essential in establishing and maintaining positive relationships with internal teams and freelancers to ensure the production success of all creative shoots.

Essential Job Duties and Responsibilities:

Manage Inventory Flow: Organize and oversee the flow of necessary inventory samples for photo and video shoots, ensuring all items are available and accounted for.

Database Management: Track and update databases with accurate information related to inventory, shoot schedules, and other critical data.

Support Shoot Logistics: Coordinate logistics for photographers, videographers, content creators, and freelancers, ensuring all aspects of the shoot are well-organized and executed to meet the creative vision.

Facilitate Communication: Establish and maintain positive relationships with internal teams, including creative, marketing, and operations, and external freelancers, to facilitate smooth communication and collaboration.

Ensure Production Success: Provide on-site support during shoots to ensure all aspects of production run smoothly, from setup to wrap-up, contributing to the overall success of the project.

Supervisory Responsibilities:

This position does not have direct supervisory responsibilities but will collaborate closely with various team members and external partners to coordinate creative projects.Qualifications

Education and Experience:

Education: A bachelor's degree in a related field such as communications, marketing, or business is preferred, or equivalent direct industry experience.

Experience: At least 2 years of experience in a role related to creative operations, production coordination, or a similar field, with a strong understanding of the creative process.

Knowledge, Skills, and Abilities:

Organizational Skills: Exceptional ability to manage multiple tasks, prioritize, and ensure deadlines are met.

Relationship Building: Strong interpersonal skills to establish and maintain positive relationships with internal teams and external freelancers.

Attention to Detail: Keen eye for detail, ensuring all logistical aspects of a shoot are meticulously planned and executed.

Creative Understanding: Basic understanding of creative processes and the needs of photographers, videographers, and content creators during shoots.

Technical Proficiency: Familiarity with standard software applications for managing inventory, schedules, and databases.

Equipment Used:

Computer, Printer, Scanner

Software:

Experience with standard project management tools and software, such as Monday.com, SharePoint, or similar platforms, is preferred.

Physical and Mental Requirements:

Physical Activity: Ability to sit, stand, walk, talk, hear, use fingers to grasp, handle, feel, and perform repetitive motions of hands or wrists.

Exertion: Exerts up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

Attention to Detail: Close mental and visual attention required to perform work dealing primarily with preparing, analyzing, and interpreting data and figures, using a computer terminal, and/or extensive reading.

Environmental Conditions:

Work is performed in various environments, including a typical office setting, on a photo set, or in a warehouse. The role may require driving a van to transport equipment or materials to and from locations. The individual must be adaptable to different working conditions and capable of handling the physical demands associated with each environment.
