The Office of the Provost provides direction on all facets of the University’s academic mission, including education, faculty, research, online learning, global initiatives, admissions, athletics, student life, and arts and culture. The Provost’s Center aggregates programs and offices designed to support University operations including: the University Art Collection. The University of Pennsylvania Art Collection includes over 8,000 artworks acquired during the past 250 years. On view in over 100 different locations, the University Collection includes paintings, sculptures, photography, works on paper, and decorative arts.DutiesAssist with maintaining the University’s vast collection of art; maintain database, registering and photographing new acquisitions.Process donor appraisals and IRS documents.Handle inquiries regarding donating art to the University.Prepare documentations for gifts, loan agreements, reproductions, and copyright agreements.Assist with annual condition inspection; track artwork on exhibition; store & care for works not on loan.Maintain office, including but not limited to, monitoring & assisting with preparing annual budget, processing invoices and journals, purchasing equipment, creating reports; update website; write periodic newsletter.QualificationsH.S. Degree required, Bachelors or Masters Degree preferably in Art History or Museum Studies preferred; or equivalent combination of education and experience. Administrative experience running small office with minimal supervision; previous experience as Collections Manager or Museum Registrar preferred; General knowledge of art, art history, and art restoration practices. Strong PC skills; knowledge of databases, preferably Filemaker Pro Database structures and solutions; proficiency in Photoshop and other Creative Suite applications preferred; ability to photograph artworks for database and publication in high-quality media. Ability to lift 25 lbs or more; ability to use small tools; ability to climb ladders and scaffolding.The University of Pennsylvania is an affirmative action/equal opportunity employer.
