Through our in-home and center-based programming, we help parents create a healthy home and become their children’s first and most important teachers.Job SummaryThe Event & Communication Coordinator is responsible for managing various projects, including event coordination, volunteer management, content creation, and in-kind donations. They will oversee fundraising events, manage logistics, and work closely with various stakeholders to ensure successful project planning, execution, and completion. Key responsibilities include organizing events, coordinating volunteer activities, crafting engaging content, and handling in-kind donations.The Event and Communication Coordinator has a significant and collaborative role and strong communication skills are essential, as is the ability to work with diverse populations and manage multiple tasks. They will need to collaborate with internal stakeholders, outside vendors, and volunteers. Attention to detail is also crucial for planning and executing events, volunteer activities, and collecting stories and content.Essential Job FunctionsEventsCoordinate fundraising and communications project schedules, deadlines, and production meetings.Assist in planning and executing fundraising events such as the Education is Power, Shine Celebration Gala, Early Learning Graduation, 3rd Grade Graduation, Adopt a Family, and other Fundraising and Programming Events.Coordinate event logistics, including scouting venues, managing vendor relationships, contract management, and budgeting.Research and suggest speakers and stories to feature at events to support event goals.Source or provide photography for projects and events and assist with promotional videos.CommunicationsCoordinate volunteer communications, activities, and maintain internal tracking system.Effectively communicate both verbally and in writing with internal and external stakeholders, fostering strong relationships to achieve successful outcomes.Source and write creative content for fundraising communications and social media platforms that align with WTG’s brand including stories, program highlights, and other WTG activities and partnerships.In-Kind DonationsResearch and select diverse books that represent a wide range of ethnicities and cultures.Coordinate with staff to determine book needs for different age groups.Manage budgets for book projects and ensure timely purchase and distribution of books.Develop relationships with bookstores and online vendors for discounted rates.Oversee the implementation of book projects, such as book fairs, literacy kits, and tutoring materials.Ensure books promote strong lead characters, both male and female, celebrating diversity.Source and supervise distributions of donated items to families, ensuring age-appropriateness.Track in-kind donations and prepare acknowledgment letters to express gratitude.General Project CoordinationOrganize and redesign projects to improve efficiency and functionality.Attend all staff meetings, trainings, and other events.Work as a team for the overall success and health of the organization.Perform other duties as assigned.Skills & AbilitiesAbility to understand and promote the mission, vision, and values of Way to Grow.Proficiency in using Microsoft Office applications.Capacity to maintain complete confidentiality with sensitive information.Excellent organizational skills, including ability to manage multiple projects concurrently.Ability to demonstrate initiative and flexibility, achieve independent goals, and thrive in a team environment.Proficiency in effective oral and written communication.Ability to work with diverse populations, culturally competent.Ability to display the highest level of professionalism, courtesy, tact, compassion, and discretion in all interactions.Ability to work flexible hours, including evenings and weekends for events.EducationBachelor’s Degree in a related field.ExperienceTwo years of event coordination experience (preferred 4 years).Other RequirementsValid Driver’s License and Reliable Transportation.Current Vehicle Insurance and Registration.Safe Driving Record.Physical DemandsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.While performing the duties of this job, the employee is regularly required to: stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl.Frequently lift and/or move up to 50 pounds.Work environment typically has moderate noise levels.This is not necessarily an all-inclusive list of job-related responsibilities, duties, skills, efforts, requirements or working conditions.
