About the role:We are looking for an incredibly organized individual with superior communication skills and a ‘no task too small’ attitude to support our Lead Planners.

As Event Producer, you will be assisting the Lead Planner on all aspects of event and wedding planning. This role requires creativity, attention to detail and the ability to meet deadlines.

Candidates should be passionate about the wedding industry and producing spectacular, once in a lifetime experiences for our clients.

Responsibilities:Managing Client Files:

Keeping electronic and paper files up to date, including planning documents and vendor contracts.Client Meetings:

Schedule, prepare for and attend client meetings. Take notes and send follow ups as needed.Venue Sourcing:

Assist in venue research, schedule visits (and attend when needed) and map out itineraries.Timelines:

Create and manage long term planning timelines for clients, including coordinating with staff and vendors.Budgeting:

Draft initial budget and update throughout the process. Keep a track of when payments are due, send reminders to clients, update the payment schedule and keep the client up to date on the agreed budget to ensure we are staying on track.Transportation:

Research options for destination weddings or speciality transportation as requested by the client. Book vehicles, coordinate timings for guests and vendors and create schedules.Hotels:

Research hotels for room blocks. Gather contracts, book and manage the blocks for guests.Welcome Bags: Source ideas and put together hotel welcome bags for our the guests of our client.Wedding Websites:

Create websites using online templates and update with information as needed.Paper:

Draft all wedding collateral text for clients, using templates. Purchase stamps, coordinate addressing with calligrapher, manage assembly and mailing of said paper. Ensure we are always on schedule.Attire:

Research attire suggestions and coordinate shopping trips and appointments for our Brides and Grooms.Floorplans:

Attend site visits and assist with creating floorplans for our wedding design.Design:

Assist in creating the design presentation for clients; helping to source and pick-up items as needed. Reviewing contracts for accuracy and updating changes throughout the process.On-site:

Manage vendors and assistants during the installation of events.Sales:

Attend sales meetings with the Lead Planner to take notes and meet clients.Networking:

Attend networking parties and events (as schedule allows) with industry partners and professions to strengthen our relationships.

Ideal Experience and Qualifications:2+ years of direct event production experience, demonstrating effective organizational and communication skills.US Work Authorization (required)Capable of working with Google Suites products.Team player with professional interpersonal skills.Solid verbal and written communication skills with the ability to effectively interact with the team.Detail oriented and a self motivated individual. Willingness to learn and to jump in at any given moment to get a project done.Well-organized with multi-tasking skills.Able to handle stress and remain calm.Must be willing to travel and work the weekends when we have an event.
