OBJECTIVE:
To efficiently manage and allocate resources within the creative team, ensuring the optimal use of skills, time, and tools across all projects. The Creative Group Resource Manager will be responsible for balancing workloads, streamlining workflows, and maximizing the efficiency and quality of the creative output. This role includes forecasting, capacity planning, and prioritizing resources to meet project deadlines and business objectives, all while fostering a collaborative and productive environment for the creative team.

Core Responsibilities:
- Serves as right-hand partner to our Chief Creative Officer and our Executive Creative Directors with focus on staffing and resourcing
- Partners with cross-departmental agency leadership to build client staffing proposals and advise on creative team composition needs against scopes - retainer, incremental, new business
- Maintains knowledge of big picture approved scopes and staffing plans to inform proactive project resource planning, evolving department composition needs, and recruiting priorities - provides recommendation informed by available data (staff plan allocation, timeline, actual burn), leadership vision, and creative need
- For day-to-day resource needs, offers innovative staffing solutions for brief at-hand or new business with leadership vision in mind - business and creative
- Manages workload allocations across creative and design staff to include regular check-ins with creatives, project management, creative leaders throughout project lifecycle
- Centrally track talent allocations and project evolution
- Establish a productive, collaborative partnership with fellow GRM to include "always on" communication and understanding of holistic department staffing and resourcing view and priorities
- Plan for upcoming out of office and provide coverage solutions as needed
- Identify opportunities for freelance engagement based on brief, scope, skills, and talent capacity
- Partner with recruiting to source freelance talent based on skills and experience needed
- Manage freelance negotiations and internal agency approval process
- Responsible for quarterly reporting to agency senior leadership with focus on utilization, actuals vs. staff plan allocation, and talent updates (i.e. performance opportunities, partners, shifts)
- Lead timesheet review and approval process for creative department
Qualification Expectations:
- 8-10 years of operations (ad agency experience preferred)
- Excels in both verbal and written communication with staff at all levels
- Understanding of in-house creative talent skillsets, experience, performance, and ambitions
- Ability to clearly articulate workload expectations while motivating talent to deliver on-time and first-class creative
- Adaptable to change with the capability to balance multiple workstreams - including creative workload, staffing/scoping, personnel, out of office management, freelance process
- Exceptional organization skills with attention to detail
- Acts with urgency and proactive in planning and providing solutions
- Demonstrates empathy while comfortable having direct, candid conversations - both with cross-departmental agency leadership and creative talent
- Freelance Sourcing and Recommendations to Leadership
- Freelance Database maintenance (including creative leadership reviewing talent, implementation of process for performance notes when projects wrap, organization)
- Freelance agreement tracking
- Management of freelance invoice and timesheets
- Support in staff Timesheet Approval
