Position Summary
Under the direction of the Health Center Operations Senior Manager, the Subrecipient Program Coordinator provides subrecipient management and project support to Alaska Primary Care Association's (APCA) Health Center Operations team. The primary responsibility of this role is to work closely with project team members and subrecipients to meet organization, department, and grant goals and objectives effectively and efficiently.
The Subrecipient Program Coordinator is responsible for coordinating and administering subrecipient agreements and processes, and for tracking and reporting on subrecipient activities and progress within assigned Health Center Operations projects. This position is also responsible for collaborating with members of the Health Center Operations team and subrecipients to support partner events, workgroups, and communication, and to organize and maintain documentation associated with assigned projects.
Essential Duties and Responsibilities

Other duties may be assigned, as necessary.Project coordination and administrationOrganize, track, implement, and support reporting of assigned grant work plan or project deliverables
Prioritize assigned tasks and activities in order to manage time and resources appropriately
Track project progress and engagement using various strategies and tools including (but not limited to): software, databases, digital platforms, one-on-one communication, feedback surveys, etc.
Coordinate, collect, organize, and update documents and communication related to assigned projects, programs, services and/or activities.
Maintain and modify subrecipient agreements, document templates, data collection tools, and processes to support subrecipient activities.
Monitor deadlines, contracts, subrecipient agreements, MOUs, reports, activities, and tasks associated with assigned grant projects.
Support, assist, and contribute to the preparation of agency, department, and grant reports.
Report project status, outcomes, and/or risks to the appropriate management channels as needed or requested-escalating issues as necessary based on project work plans.
Oversee daily administrative, operational, and logistical activities/tasks associated with projects as assigned.
Coordinate and participate in technical assistance training, office hours, webinars, and/or learning activities associated with assigned projects.
Foster a positive, collaborative, and efficient work environment.
Assist with implementation of grant or other project activities. Some examples may include (but is not limited to): coordinating data and document collection, scheduling meetings with internal and external customers and partners, preparing grant information and reports for submission into funder systems, and monitoring project timelines.
Provide input on grant workplans and budgets to support project and subrecipient needs and assist with revisions as needed.
Monitor project outcomes and report to appropriate management.
Track identified risks, issues, and challenges affecting assigned project implementation and outcomes; assist with implementing strategies to mitigate them
Partnerships and relationshipsMaintain key partnerships with subrecipients and other internal and external stakeholders; coordinate and facilitate project meetings, workgroups, peer networks, and learning cohorts with stakeholders to ensure cohesive efforts towards continuous improvement and health outcome targets.Provide excellent customer service to internal and external customers, APCA staff, stakeholders, and partners.Act as a point of contact for subrecipients, contracted vendors, and/or partners and facilitate communication with other APCA project staff.Using established templates, draft language for subrecipient agreements with participating partners to meet grant deliverables and project goals.Other duties as assignedPlan and organize Summit content and other events, anticipating health center needs.

Qualifications / Knowledge
Required
Associates degree, or related year for year experience may be substituted in lieu of education.1-3 Years of relevant experience.1 year of experience in project and/or data coordination.Excellent interpersonal, written, and oral communication skills supported by documented experience and professional references.Exceptional proficiency and skill with computer software including Microsoft Office Suite on a Windows platform.Preferred
Bachelor's degree in related field2 years' experience with program/grant development, coordination, and management.Previous experience in community health centers, the Alaska healthcare industry, primary care associations, social service, and/or non-profit settings.Skills and Abilities

Travel Required
In-city travel by personal vehicle for meetings, tasks, and errands as needed. In-state travel may occur. Mileage is reimbursed per APCA policy.
Hours per Week
This is a full-time position, 40 hours/week. Generally, hours are 8:00 a.m. to 5:00 p.m.
