Description
The Marketing Purchasing and Merchandise Coordinator is responsible for managing the acquisition, inventory, and distribution of branded apparel, marketing materials, and supplies across multiple divisions. This role supports the Marketing department by coordinating material and supply purchases, overseeing vendor relationships, and ensuring a steady procurement of items necessary for various corporate events, trade shows, and new hire orientations. The ideal candidate is organized, proactive, and skilled in vendor management, with experience in logistics, inventory control, and procurement processes.
Duties and Responsibilities
Purchasing and Supplier ManagementSource and acquire branded apparel, specialty items for divisional needs, and marketing materials, such as hats, giveaways, and raffle prizes.Create and maintain strong relationships with suppliers to ensure timely, high-quality procurement at competitive prices.Confers regularly with Sales and Service teams to understand and forecast material needs for upcoming projects and ensure prompt delivery.Manage the full procurement process, including preparing purchase orders, tracking orders, and processing invoices.Inventory Management and Organization
Receive, store, and organize marketing supplies and branded items in an accessible, orderly manner.Conduct regular inventory audits to maintain accurate stock levels and ensure the availability of items for unplanned needs.Monitor and adjust reorder points based on demand, upcoming projects, and event requirements.Maintain accurate records of purchases, pricing, stock counts, and storage locations.Distribution and Fulfillment
Coordinate and fulfill distribution of items to employees across seven states, packaging and shipping orders securely and on time.Support Sales, Service, and Marketing departments by ensuring materials are available for events, trade shows, and corporate functions.Track and document all outgoing shipments and reconcile any discrepancies in orders or deliveries.Process Improvement and Departmental Coordination
Collaborate with various departments to anticipate purchasing needs, align on branding specifications, and plan for stocking and safety stock requirements.Identify and implement improvements to inventory and distribution processes to enhance efficiency and accuracy.Resolve any issues with orders or shipments and ensure timely responses to any internal inquiries.Qualifications
Strong customer service and communication skills to maintain supplier and internal relationships.Planning/forecasting ability to meet department and project-specific demands.Knowledge of risk management and inventory best practices.Familiarity with marketing specifications, such as logo placement and branding requirements.Proficiency in stocking and maintaining safety stock levels to avoid shortages.Physical capability to lift and move boxes up to 50 lbs. regularly.Thorough understanding of warehouse operations (e.g. inventory, shipping & receiving)Must be computer proficient in Microsoft Excel and Outlook, and able to adapt to new software programsExcellent organizational and multitasking skillsAbility to work with multiple cross functional teamsEducation and/or Experience
High School Diploma or GED requiredSignificant work experience in related field preferredExperience in maintaining inventory accuracy
