Fleet Service Writer Coordinator

The Colorado Springs Utilities Fleet Operations department is seeking two Fleet Service Writer Coordinators.We will be hiring a Coordinator for each of the two below mentioned shifts.

Our Fleet department operates Monday-Friday and offers two shifts:
  • 7:00 am - 3:30 pm
  • 2:30 pm - 11:00 pm, this shift is eligible for shift differential pay.
In this role, you are responsible for various activities involving the upkeep of all organization fleet vehicles and equipment. Incumbents act as the point of contact for field crews with repair and maintenance needs by scheduling and coordinating maintenance and repair work, receiving vehicles and equipment and preparing proper documentation and reports, developing vehicle specifications, and ensuring compliance with all laws, policies, and safety protocols.

A day in the life of a Fleet Coordinator may include:
  • Administers, schedules, and coordinates preventative maintenance and repairs of all organization fleet vehicles
  • Receives vehicles and equipment; evaluates and prioritizes maintenance and repair needs
  • Develops design specifications for vehicle requisitions; verifies specifications upon receipt
  • Monitors regulations and requirements for vehicles and equipment
  • Ensures compliance with rules and regulations, and files paperwork in support of compliance as needed
  • Maintains accurate records of vehicles and tickets including cost, work performed, vehicle condition, and other pertinent information
  • Prepares reports on inspection findings and ensures proper vehicle maintenance to comply with prescribed safety regulations
  • Ensures proper documentation is completed for warranty coverage.
  • Input new vehicle information into Assetworks (M5) with the appropriate MCC Code; Category Types, pictures, and tech spec per procedure
  • Scheduling and dispatching drivers, work crews, vehicles, or equipment to appropriate locations according to predetermined schedules, customer requests, or immediate needs
  • Speaking with supervisors or customers to resolve problems, requests for services or equipment
  • Preparing daily work such as schedules
  • Keeping and organizing work requests, customer requests, completed work requests, charges for work performed, expenses for services performed, inventory records, and other information
Who You Are:
  • Possession of a valid, unrestricted driver's license AND possession of a Commercial Driver's License (CDL) IS REQUIRED for this position
  • Relevant experience in a fleet or automotive mechanic environment
  • Knowledge of and experience with preventative maintenance methodologies and tools
  • Certified Automotive Fleet Manager (CAFM) preferred Automotive Service Excellence (ASE) Certification
